Medical Secretary - Vascular Surgery

The Role

The department provides a full range of professional administrative, secretarial and clerical services which support clinical staff to deliver high quality, efficient and effective patient-centred care within Acute Services, in line with local and national standards.

This role does not meet the eligibility criteria for a Skilled Worker visa or a Heath and Care Worker visa. NHS Greater Glasgow and Clyde (NHSGGC) is unable to provide candidates or employees with a Certificate of Sponsorship (COS).

Duration, Location, and Working Pattern:

• This is a permanent post working full-time hours (36)
• These hours will be worked Monday to Friday
• This post is based within Zone 2, 1st Floor, Office Block, Queen Elizabeth University Hospital

Key Responsibilities

You will provide a comprehensive secretarial and administrative service to a Consultant(s) and their team(s) while acting as a focal point for the provision of help and advice to staff members, patients and professionals in relation to service enquiries and co-ordinating the patient’s pathway.

You are responsible for prioritising and scheduling your own workload to ensure compliance with NHS Greater Glasgow and Clyde and Scottish Government targets.

You are required to assist in organising and prioritising the Consultant(s)' administrative workload to support effective forward planning, for example, by notifying relevant teams of cancelled or reduced clinical sessions due to annual leave or study leave, thereby ensuring the efficient use of resources. You must be aware of your level of responsibility and accountability, taking ownership of your role and actions.

You must also ensure you complete all statutory and mandatory training and, in conjunction with your Line Manager, undertake any additional training required to meet your own objectives and the objectives of the service.

Knowledge, training, qualifications and/or experience required to do the job:

• HNC/SVQ III in Secretarial Studies, Business Administration, or equivalent experience.
• Proficient in the use of Microsoft Office and other software systems.
• Advanced keyboard skills.
• Knowledge of medical terminology.
• Excellent organisational and communication skills.
• Ability to work independently and as part of a multidisciplinary team.
• Excellent interpersonal skills with the ability to maintain a professional approach, particularly when working under pressure, meeting deadlines, and managing competing priorities.
