Position Summary

Reporting to leadership within Information Technology, the Project Management Analyst is responsible for planning, coordinating, and supporting the delivery of enterprise technology initiatives across the Durham District School Board. This role works collaboratively with technical teams, business stakeholders, vendors, and leadership to deliver projects effectively, securely, and in alignment with board governance standards and operational objectives. Portfolio initiatives include cloud services, cybersecurity, automation, artificial intelligence (AI), infrastructure modernization, and digital transformation projects that directly enhance operational efficiency.

Key Responsibilities

• Manage Projects: Chair project team meetings, document action items, and monitor implementation to establish clear accountability. Lead diverse project teams through the development of project plans and scope documentation. Monitor project activities against approved performance measurement baselines and schedules. Manage third-party vendor relationships, contractors, and consultants to maintain timely communication and project deliverables.
• Monitor and Evaluate Project Performance: Implement project plans to ensure deliverables meet measurable quality standards established by IT project management best practices. Track and analyze project Key Performance Indicators (KPIs) against targets to ensure projects meet established quality, timeline, and budget parameters.
• Manage Project Management Information System (PMIS): Configure PMIS software to support scheduling, resource allocation, collaboration, and reporting. Maintain the PMIS document repository to capture lessons learned and support continuous improvement across the board. Provide user training and ongoing support to project team members and stakeholders.
• Support IT Change Management: Log, track, and support IT change management activities in compliance with industry standards. Draft change release schedules, log priority Requests for Changes (RFCs), and support the Change Advisory Board (CAB) review process. Verify that deployed releases are fully tested, preserve production quality, and align with stakeholder expectations and recovery procedures.
• Equity and Inclusion: Embed Indigenous rights, human rights, accessibility, and anti-oppression principles into project planning, stakeholder engagements, and system implementations. Ensure technology solutions and processes account for diverse user needs across DDSB communities.
• Other duties as assigned.

Education and Experience

• Completion of an undergraduate university degree in a related discipline (e.g., Information Technology, Computer Science, Business Administration) or an equivalent combination of education, training, and experience.
• Minimum of five (5) years of progressive IT Project and Change Management experience within a large, complex organization.
• Minimum of two (2) years of experience managing, mentoring, or leading project teams.
• Project Management Professional (PMP) certification is required.
• Information Technology Infrastructure Library (ITIL) certification is preferred.

Qualifications and Skills

• Proven experience in IT project planning, performance measurement baseline evaluation, and budgeting.
• Strong technical knowledge of IT governance standards, ITIL change management processes, and digital transformation initiatives (e.g., cloud services, cybersecurity, AI, automation).
• Demonstrated proficiency with project management software platforms, Microsoft 365 (Teams, SharePoint, Word, PowerPoint, Excel, OneNote), Visio, and reporting tools.
• Superior written and verbal communication skills, including technical writing, project documentation, and drafting executive reports.
• Highly developed analytical, problem-solving, and organization skills with strong attention to detail and time management.
• Strong interpersonal, facilitation, and relationship-building skills to collaborate effectively with diverse internal and external stakeholders, vendors, and resource groups.
• Commitment to embedding equity, accessibility, and anti-oppression frameworks within project management practices and technology deployments.

Additional Requirements

• Provide a current Criminal Record and Judicial Matters Check (CRJMC) screening upon hire.
