Operations Manager

Hexagon Psychology is a growing mental health organization based in Airdrie, Alberta, serving clients across Alberta and virtually across Canada. We provide psychological assessment and counselling services for children, teens, and adults. We also deliver professional learning for mental health professionals, and we undertake applied research projects in mental health and education. About the Role

As our Operations Manager, you will be the operational leader and Integrator of a growing, multi-entity practice, and the CEO’s second-in-command. You will turn our vision into disciplined day-to-day execution and run the business so the CEO can focus on vision, clinical leadership, and growth.

This is a hands-on execution role. You are the disciplined counterweight to the CEO’s vision: a grounded, steady presence who protects the business, prioritizes ruthlessly, and holds the line on focus, standards, and spending. You work closely with and oversee the Clinic Manager and Marketing Coordinator.

In practical terms, you own how the work gets done. You run our EOS operating cadence (the Scorecard, Rocks, and the weekly Level 10 meeting), support our people and HR day to day, oversee marketing, and keep finance, facilities, technology, and operations running through a mix of internal staff and trusted vendors.

What You’ll DoRun the Business (as our Integrator)

• Serve as our EOS Integrator and the CEO’s right hand. You own weekly execution: the Scorecard, Rocks, and the Level 10 (L10) leadership meeting, and you hold the team accountable so the CEO can focus on vision, clinical leadership, and growth.
• Harmonize the major functions (operations, people, marketing, finance, and facilities) and remove obstacles so teams can execute.

Operations

• Oversee day-to-day business operations, including service flow, intake, and resource use, and keep them running smoothly.
• Develop, document, and maintain operational policies and standard workflows.

People & HR Support

• Work closely with and oversee the Clinic Manager and Marketing Coordinator, and support the receptionist day to day. Your Clinic Manager runs front-line clinic operations and owns clinical scheduling, clinician and contractor payouts, and ordering of clinical materials; you provide the systems, oversight, and accountability.
• Run day-to-day HR: onboarding and hiring logistics, HR administration, and managing our HR consultant. The CEO holds hiring approvals, performance and compensation, and org design.
• Build a positive, values-aligned culture and connect easily with staff and our contract clinicians.

Finance & Vendor Management

• Manage the books and overall financial health, flagging issues early and preparing regular financial and operational reports for leadership.
• Liaise with our accountants and bookkeepers to keep the books accurate and up to date and to ensure tax filings and remittances are completed correctly and on time.
• Review and approve payroll each cycle, and manage the organization’s bank accounts and day-to-day banking with sound financial controls.
• Manage operational spending within approved budgets and support the CEO with budgeting.
• Identify, contract, and manage the outside providers we rely on, such as payroll, marketing, HR, IT, and bookkeeping, holding them accountable to scope, quality, cost, and timelines.

Facilities, Technology & Compliance

• Administer clinic systems (Jane, Microsoft Teams, Zoom, email) and ensure privacy compliance (HIA, PIPA).
• Maintain risk-mitigation systems, including lone-worker protocols and insurance, and support regulatory compliance across service-delivery models.

Marketing, Programs & Community

• Operationalize and launch new partnerships and contracts secured by the CEO.
• Help design, pilot, and scale new services and program tiers aligned with client needs and market demand.
• Oversee day-to-day marketing execution, including the Marketing Coordinator and any contract marketing vendors, keeping messaging consistent and values-aligned.
• Oversee marketing, internal, and community engagement events, with support from our internal team.

Qualifications & Skills

• A diploma or degree in business administration, health administration, accounting/finance, psychology, or a related field, or an equivalent mix of education and experience. A master’s degree is an asset.
• Five or more years of operations and leadership experience, including running multiple functions or acting as a key leader. Your industry background is flexible, and a service-oriented background is a plus.
• Experience running EOS (or a similar operating system) as an Integrator, including L10s, Scorecard, and Rocks, is strongly preferred.
• Experience managing day-to-day HR operations (onboarding, HR admin, people support) and working with an HR consultant.
• Financial literacy. You are comfortable keeping an eye on the books, reading financial reports, and working with accountants and bookkeepers so the numbers are accurate and tax filings are on time. No hands-on bookkeeping required.
• A knack for finding, contracting, and managing outside service providers (payroll, marketing, HR, IT, bookkeeping) so they deliver reliably and cost-effectively.
• Familiarity with QuickBooks Online and financial reporting is an asset.
• A track record of leading and developing teams and improving processes.
• Exceptional communication skills and demonstrated discretion with confidential information.

Bonus Skills (Assets)

• Experience overseeing finance across multiple legal entities or a corporate group, and managing outsourced bookkeeping or payroll providers.
• Familiarity with Jane practice-management software, and exposure to a healthcare, psychology, or professional-services environment.

Additional Requirements

• Satisfactory completion of a criminal record check, and a credit check given the financial responsibilities of this role, prior to the start date.
• Completion of privacy and confidentiality training within the first month of employment.

What We Offer

• Competitive pay of $90,000 to $105,000 per year, based on experience.
