You will play a key role in supporting the flow of client work, managing shifting priorities, and ensuring accuracy across a variety of administrative processes.Your Primary Responsibilities Will IncludeProviding daily reception coverageCompiling corporate filesCompiling individual tax returnsCompiling trust returnsCompiling partnership returnsSupporting workflow coordination and administrative processes across the teamMaintaining and updating workflow tools (e.g., iFirm and internal trackers) to reflect real-time status of files and assignmentsCoordinating and tracking client deliverables across multiple engagements to ensure deadlines are metProactively identifying and helping resolve workflow bottlenecks, escalating issues where appropriatePreparing and organizing documentation and materials for client deliverables and meetingsAssisting with client correspondence and ensuring timely follow-up on outstanding information requestsDrafting and sending out invoices to clientsFollowing up on outstanding invoicesCompleting ad hoc administrative duties as requiredRequired Experience, Qualifications And CharacteristicsCompletion of a Post-Secondary Degree or DiplomaMinimum 1 year of administrative support experience, ideally in a professional services environment; experience working in a public practice accounting environment is an assetStrong attention to detail and accuracy in all aspects of workHighly organized with the ability to manage multiple deadlines, competing priorities, and workflow dependenciesProactive, forward-thinking, and resourceful with strong critical thinking and problem-solving skillsStrong interpersonal and communication skills, with the ability to interact professionally and effectively with both clients and internal teamsSelf-starter with a strong sense of ownership and accountabilityComfortable working in a fast-paced, dynamic environmentExperience using MS Office (Word, Excel, PowerPoint)Experience with CRM software (such as iFirm) and tools like CaseWare and SharePoint is an asset; a strong willingness to learn new systems is essentialTeam player, willing to support reception and collaborate across teamsTax return filing experience is an assetAble to work overtime when required Note: These are 100% in-office positions, requiring regular onsite presence at our office.
