Operations Manager Specialist

Climate change and extreme weather events are disrupting the basic infrastructure we took for granted for years.
Citylitics is solving the hardest data problems in infrastructure while building the sales intelligence platform that enables a faster, more transparent, and more efficient infrastructure marketplace. We turn millions of unstructured documents into high value intelligence feeds and datasets that are available on an intuitive user experience. Our goal is to enable solution providers to connect with cities with relevant infrastructure needs in a faster and more digital way than historic market channels. We are seeking a highly organized and proactive Operations Specialist to join our team. In this role, you will be the backbone of our office, providing essential administrative support that ensures our team can focus on their core work. You will establish a seamless and productive environment by expertly managing core financial operations, overseeing facilities and IT inventory, coordinating team travel logistics, and championing our workplace safety and culture.This role reports to our Director of Finance and Operations in our downtown Toronto office. The position will be out of our Toronto Headquarters.

How You Will Make An Immediate Impact:

Financial Administration: You will carry out many of our customer-facing financial processes and contribute to maintaining efficient workflows.
Perform the end-to-end invoicing process for new customers, including drafting welcome and collections emails.
Assist in travel budget estimations.
Office and Facilities Management: You will become the office linchpin, creating a seamless and productive environment for everyone.
Act as the primary point of contact for building management communications.
Oversee regular office orders and restock essential supplies.
Manage kitchen operations, including acting as the Kitchen Manager to ensure a tidy space and stocked.
Manage office key card access for new and existing employees.
IT and Inventory Support: You will help keep our team productive and our technology organized.
Maintain the company's computer and equipment inventory.
Provide basic computer troubleshooting and support for the team, and communicate with professional support when necessary.
Travel Planning: You will support our team's growth and connection by managing travel and conferences.
Book and manage travel and conference arrangements for employees.
Handle all aspects of company apparel and branded merchandise management.
Coordinate business card orders.
~ Post-secondary degree in Business or a related field.
Previous experience in an administrative, operations, or office management role. Leadership experience in these roles is an asset.
Ability to work independently, multitask, and manage time effectively.
Quick to learn new business systems and processes, and then able to teach others.
Proficiency with Google Workspace and Microsoft Office.
Ability to be onsite at our Toronto Office location 4 days a week.
A valid workers' health and safety certificate is required or the willingness to obtain training.
