Assistant Project Coordinator/ Manager (Construction)

with people, and energized by fast‑moving project environments? restoration and construction firm is looking for a Project Manager Assistant \ to support full‑cycle project delivery across residential and commercial
operational backbone that keeps projects running smoothly from start to finish.

You’ll work closely with Project
Managers to keep projects on track, on budget, and fully documented. Coordinating project start‑up requirements: confirming deductibles, securing authorizations, and arranging progress draws \
Reviewing construction plans and consulting with engineers to ensure compliance with building codes and regulations \
Scheduling and coordinating trades, emergency crews, inspections, and permit requirements \
Maintaining clear, consistent communication with homeowners, business owners, adjusters, property managers, tenants, and subcontractors \
Managing change orders, additional work requests, and all related documentation \
Ensuring all project files, reports, and compliance documents meet client and internal standards \
Supporting project accounting: invoicing, receivables follow‑up, budget tracking, and profitability reviews \
Preparing weekly project status updates, KPIs, and claim reports \
Building strong relationships with trades, adjusters, and internal teams \
Sending customer surveys, warranties, and completion documentation \
Learning and using industry software including Xactimate, Symbility, PSA, and Optimizer \\

2+ years of administrative or coordination experience (restoration or construction experience is a strong asset)\

Strong Microsoft Office skills \
Excellent communication skills — written, verbal, and over the phone \
Confidence working independently while also collaborating with a project team \
Professionalism when dealing with clients, subcontractors, and stakeholders \
Ability to produce accurate, high‑quality documents quickly \
Use of Artificial Intelligence (AI)\
