Front Desk Administration Assistant
API

General Building Administrative Support (50%)
Provide front desk coverage and visitor admission via west vestibule intercom (8:30am-4:30pm).
Distribute short-term keys/fobs and parking placards.
Answer phone calls and assist with deliveries.
Monitor Joan meeting room booking system and ensure Joan units are charged.
Maintain lounge, upstairs kitchen, and plants.
Daily maintenance of coffee machine
Routine kitchen upkeep
Water plants regularly
Tenant Customer Service (15%)
Serve as the first point of contact for the BBDC building.
Respond to inquiries from prospective tenants via email and phone.
Manage snack inventory and replenishment.
Work collaboratively with internal teams to deliver a superior customer experience for tenants and stakeholders.
Email communication to tenants through CRM.
Technical Operations Support (10%)
Coordinate and liaise with contractors. Support Technical Operations with hospitality and catering for meetings.
Interface with contractors supporting tenant experience (e.g., coffee connection, Otis)
Liaise with vendors and service providers to ensure timely and high-quality delivery of services for BBDC tenants and events.
High School Diploma, required.
Office Administration Certificate, preferred.
Diploma in a related field is considered an asset.
Hospitality, event planning, tour hosting, or service roles (e.g., hotel concierge, server, hostess), is considered an asset.

Personal Competencies
Proficiency in hosting and facilitating both in-person and virtual events via Zoom, Google Meet, and Microsoft Teams.
Familiarity with SharePoint, including intranet site updates
Working knowledge of Microsoft Office Suite
Dependable, resourceful, and committed to delivering high-quality service
Required travel between Edmonton API sites.
This position requires you to be on site.
