Reporting to the Manager, Student Success and Retention, this position provides administrative support for financial aid and awards area. This role also provides direct front desk services to students, staff, and the public.
Specific Duties
Provides administrative support within Financial Aid and Awards while ensuring confidentiality of student information.
Completes student loan interest free status forms for provincial and federal loan programs and/or forms for banks.
Assists students with applications for and reports student withdrawals to Student Aid BC (SABC)
Provides electronic confirmation of student enrolment and Student Financial Assistance System (SFAS) updates.
Ensures that student records in Colleague are flagged for tuition deferrals and for emergency loans.
Responds to Regional Campus queries regarding Student Aid BC and the Online scholarship, awards, bursary (OSAB)
Assists the Financial Aid Clerk with Adult Upgrading Grants (AUG) applications and student loans as needed.
Assists in the annual review and management of the CNC Online Scholarships and Bursaries (OSAB) system
Collaborates with the Team Lead, Awards Assistant and Financial Aid Clerk on selection process for all award cycles.
Coordinates student cheque requests and tuition credits with Finance department.
Verifies and maintains the accuracy of the online Student Awards and Financial Assistance Catalogue.
Collaborates with the Financial Aid Team on internal and external award promotions, including participating in classroom visits, presentations and information sessions, as required.
Liaises and collaborates with staff and external stakeholders.
Compiles reports and statistics for financial aid & awards and functional areas including Ministry reporting.
Assists with the coordination of workshops, meetings or presentations and prepares supporting materials, etc.
Receives, prepares, stores confidential information pertaining to students.
Understands students and staff may be at all levels of emotional range when entering the Student Services dept.
Triages all requests and determines whether scenarios constitute an urgent/crisis response or appointment.
Responsible for booking appointments online and in-person appointments between student services staff and students.
Records and distributes agendas and minutes of meetings as requested in an accurate and timely manner.
Assists Financial Aid & Awards area with financial account reconciliation, including C-card reconciliation.
Receives and manages all departmental mail, correspondence, filing, scanning and photocopying.
Ensures departmental promotional material are reviewed and updated.
Coordinates information gathering for Financial Aid and Awards initiatives, and creates efficiencies and improved services.
Creates and maintains standard operating procedure manual for position.
Ensures submission of employee vacation, illness, professional development forms and/or schedules as required.
Initiates travel, printing and cheque requisitions, requests for leave and room bookings as requested.
Monitors and maintains inventory of supplies.
Maintains office security by following safety procedures.

Skills & Qualifications
- Recognized two (2) year diploma in Office Administration, Business or other relevant discipline
- 2 years or more relevant experience in a post-secondary setting, or equivalent combination of education and work experience with adult learners.
Demonstrated understanding of the post-secondary education system, particularly in relationship to service to students, colleagues and the public, preferred.
Demonstrated ability to triage and appropriately refer people in distress.
Ability to maintain confidentiality, and privacy requirements.
Proficient in a student record system (Colleague preferred), database management.
Proficient in word processing, excel, PowerPoint, e-mail, online bookings, internet research, webpage maintenance.
Proven ability to gather, analyse, integrate and summarize material, and provide accurate information.
Excellent communication skills (both verbal and written) with the demonstrated ability to communicate courteously and effectively with staff, faculty and students
Maintain a philosophy of service excellence.
Excellent interpersonal skills
Keyboarding skills of 50 wpm with precision and accuracy
Attention to detail, with a high degree of accuracy in proofreading and editing
Proven ability to maintain positive working relationships.
Excellent organizational skills including the ability to prioritize.
Experience in providing presentations preferred.
Physical ability to meet the demands of the role.
