Assistant de gestion h/f - FULL TIME

ATRF has an exciting opportunity for an organized, detail-loving administrative professional to join our team as Executive Assistant. This role provides comprehensive administrative and operational support to the CEO, General Counsel & Corporate Secretary, and the Investments and Funding Team.

Reporting the General Counsel and Corporate Secretary, and working in close coordination with the CEO and Legal Services team, the Executive Assistant ensures efficient management of day-to-day operations through expert calendar management, meeting and event coordination, and monthly expense reconciliation. The role also works closely with the Legal Counsel & Assistant Corporate Secretary in supporting Board related responsibilities, including preparing and distributing materials, managing the board portal, and coordinating meeting logistics.

Serve as primary point of contact for internal and external inquiring for the CEO and Legal Services team

Arranging travel logistics including flights, accommodations, and itineraries

Coordinating internal and external meetings and events including booking facilities and catering, material preparation, and managing logistical details

Supporting the coordination and preparation of Board and Committee meetings including logistics, materials distribution, and portal administration

Managing and reconciling monthly invoice reconciliation and timely submission of personal expense claims

Drafting routine correspondence on behalf of the CEO and General Counsel & Corporate Secretary

This role is focused on administrative and operational support rather than executive decision‑making or governance drafting. Diploma or certificate in Administration, Business, or a related field

A minimum of three years of administrative experience supporting senior executives.

*Equivalent combinations of experience and education, including legal assistant experience with

Diligent) would be an asset; experience may include logistical or administrative support

Meticulous attention to detail with a focus on accuracy, efficiency and continuous improvement

Advanced proficiency in office technology and collaboration tools, including Microsoft 365 suite (Outlook, Word, Excel, PowerPoint, Teams, SharePoint) and Zoom
