Our company is looking for a Financial Administrative Assistant to join our team.

Responsibilities:

  • General Accounting;
  • Reconciliation of transaction details, payroll distribution, creating budget status reports and supporting budget/finance related activities;
  • Accounts payable and receivable;
  • Budget and financial assistance;
  • Maintain operational review folders, organization charts, distribution lists and employee directories;
  • Update and publish various plant metrics, i.e. dashboards;
  • Provide administrative support by generating documents, presentations and spreadsheets as necessary;
  • Perform special assignments and other duties as necessary;
  • Ensure employee time is accurate and submit to payroll;
  • Greet, direct and coordinate ABB site requirements with customers, contractors and third party vendors;
  • Answer and transfer incoming facility calls;
  • Invoice jobs, accounts receivable, accounts payable;
  • Manage Conference Room schedule with internal and external parties utilizing multiple calendars.

Requirements:

  • Experience and knowledge of standard office practices and procedures;
  • Excellent organizational, multi-tasking and time management skills and the ability to effectively manage changing priorities;
  • Recent and relevant employment experience executing financial duties;
  • Ability to work independently within established guidelines and procedures and as a member of a team;
  • Computer proficiency in MS Office programs including Word and Excel in a Windows-based environment;
  • Experience working in a similar large, unionized academic environment;
  • Knowledge of basic accounting principles, related training and education.
