Primary function

This position is primarily responsible for supervision of the Barrie District offices and operations and assisting with other items as requested in the Central East district. This role will require travel throughout the Simcoe and Muskoka areas.

Reporting To: Manager, District Operations

Key accountabilities

• Reporting and HR responsibility for the current Barrie Criminal Legal Aid Worker staff
• Other HR responsibilities: Recruitment/onboarding; Computer Access; Performance Excellence Program (PEP); Staffing Inventory; OPSEU issues; Staff Meetings; Daily supervision of direct reports in person or remote; Training
• Central East DO office: OHSA Monthly inspections; Ordering supplies/ requisition processes
• Updating Referral lists; Stakeholder Relationships; Assisting Clients; Supporting Legal Aid Workers; Liaising with Correctional Facilities and Domestic Violence Agencies
• Certificate Management – assist and supervise work of direct reports; Review of LSC or CSC interactions
• Assist Manager, Legal Services with court operations and duties, including acting in court as required
• Assist Manager, Legal Services with LAW and DC operational schedules for both court and DO functions
• Assist management team with development and management of business and strategic plans for the district
• Assist management team with special projects, including management of project plans, timelines, deliverables, budget and change management components
• Assist Manager, District Operations with financial oversight activities of the district, including review of budgets, forecasting and procurement
• Supervise day-to-day operations of the Central East District Office to provide client service excellence, ensuring effective use of resources and that key departmental goals are met.
• Lead a team of unionized staff; coaching them on meeting their individual targets, supporting them in performance goals.
• Support the team in the understanding and application of Legal Aid Ontario’s (LAO) policy and procedure, specifically around client triage and intake, including application and certificate management.
• Collaborate and coordinate with district and provincial office partners in the delivery of our Continuum of Service.
• Other related administrative and supervisory duties as required

Required Skills & Experience

• Intimate knowledge of LAO and its operations (as they relate to criminal, family duty counsel processes as well as refugee, and civil law) to directly provide outstanding service to our diverse client base
• Previous certificate management experience related to application review, change of lawyer, request for review, etc.
• Leadership experience motivating, developing and encouraging staff.
• Experience dealing with the interpretation and application of procedural legislation and regulations
• Strong background in providing direction and guidance to staff (i.e. general legal information, community referrals, etc.)
• Project Management and other Financial Business-related skills would be considered an asset
• Demonstrated proficiency with PeopleSoft and Microsoft Office
• Outstanding problem solving, conflict management and analytical skills
• Excellent written and verbal communication skills
• Well-developed customer service and relationship-building skills
• Preference will be given to candidates that have demonstrated proficiency in oral and written French
• The ability to provide on-site or remote supervision of DO staff, day-to-day or as needed
