Qualifications
MINIMUM FORMAL EDUCATION/TRAINING
- Completion of a formal training program in a related discipline from a recognized institute is required.
- Undergrad degree or diploma preferred.
EXPERIENCE
- Four years of directly-related administrative experience in a professional or educational environment is required.
- Lived experience with one or more marginalized identities an asset.
- Understanding of professional faculty needs would be an asset.
- Familiarity with the University of Manitoba an asset.
- Practical experience in the application of EDIA principles required.
- An acceptable equivalent combination of education and experience may be considered.

Key responsibilities
SUPPORTING THE ITL PROGRAM, EQUITY & TRANSFORMATION
- Program support for ITL Program, and Equity & Transformation.
- Coordinate clinical, professional development and academic programming with the Directors. This may include design of non-academic reporting activities, and materials.
- Assist with work or clinical placements, relevant clinical work and opportunities working with the Directors.
- Assist in design, launch and administration of Equity and Transformation initiatives and programming.
- Assist in the collection of data and conduct data analysis for Equity and Transformation.
- Act as the first point of contact between students and the ITL Program and Faculty of Law staff and making appropriate referrals to staff within the Faculty of Law.
- Ensure all relevant ITL Program student paperwork is completed and submitted for approval to NCA and other bodies.
- Advise students in the development of class schedules, provide a variety of advice and information to students in the ITL Program, advise current and prospective students on program requirements, policies and procedures.
- Assists students with registration in the ITL Program.
- In the ITL Program, evaluate individual students’ academic situation and provide direction and guidance. Must demonstrate anti-racist and anti-oppressive conduct, sensitivity, tact and understanding when dealing with students with an endless variety of challenges both academic and personal and assist in overcoming these challenges which may impede their academic success.
- Assist and action with Director direction ITL admissions by monitoring and responding to ITL Admissions emails at the from prospective students with general questions preapplication stage, scheduling student interviews, and compiling yearly admissions statistics.
- Assist with ITL awards and action with Director direction by compiling applications for scholarships, acting as a second reader on scholarship forms to ensure accuracy, and compiling a list of course award winners each year for the website.
- Assist ITL Program admissions processes by ensure complete application packages, and other duties as needed to support the admissions process and provide support to the admissions committee for the ITL Program;
- Assist with the ITL Program by compiling applications for scholarships, acting as a second reader on scholarship forms to ensure accuracy and compiling a list of course award winners each year for the website.
- Learn and provide support in admissions and awards/bursaries processes in a cross training or emergent capacity
- Liaise between ITL Program with JD, MHR and LLM programs as needed to meet each program’s requirements and goal; Liaises with supervisor of Admissions as directed.
- Liaise with NCA relating to student requirements as set by National Committee on Accreditation and obtain approvals from course registration from NCA.
- Initiate and coordinate regular progression meetings with ITL Program students.
- Assist in coordination of activities for ITL Program students.
- Assist with the planning and coordinate professional seminars, events and conferences including relevant support work such as travel, bookings, organization, and administration of the foregoing for the ITL Program.
- Liaise with communications providers to promote and bring the above opportunities to market.
- Book travel and prepare expense claims for the ITL Program, and Equity & Transformation.
- Update UMLearn with course information, assignment marks, syllabi, and other course-related materials for specified instructors.
- Assist with typing and setting up exams, printing exams, and entering final grades for specified instructors.
- Online purchasing of books and payment of professional membership fees for the ITL Program and Equity & Transformation, and specified instructors.
- Coordinate and assist in developing & planning professional seminars, events and conferences for the envelopes including relevant support work such as travel, bookings, organization administration.
- Other duties as assigned by the Director of the ITL Program, Equity & Transformation or the Dean of Law.
ADMINISTRATIVE (ACCESS TO JUSTICE, LAW REFORM COMMISSION, AND INDIGENOUS LEGAL LEARNING)
- Assist Director of Indigenous Legal Learning and Services with planning and conference organization
- Assist Director of Indigenous Legal Learning and Services with digital communications
- General Administrative support for Director of Indigenous Legal Learning and Services
- Work with the Faculty’s finance team with respect to Director of Indigenous Legal Learning and Services grant applications and funds
- Assist Director of Indigenous Legal Learning and Services with report writing, formatting, and editing
- Assist Director of Indigenous Legal Learning and Services with organizing committee work, and with internal projects
- Work closely with Directors as well as student leadership (Manitoba Law Students Association and Manitoba Indigenous Law Students Association)
- Respond to all internal and external Access to Justice general inquiries
- Contact relevant partners and service providers to ensure materials are in place for the start of the new term, esp for incoming students for Orientation Week
- Draft promotion messages for social media to promote A2JF Concentration and Indigenous Legal Learning to incoming students
- Assist the Director of Access to Justice with the planning of Access to Justice Week on an annual basis
- Assist the Director of Access to Justice with the drafting and dissemination of an A2J newsletter
- Assist the Director of Access to Justice with coordinating meetings/events of Manitoba's A2J Advisory Network and/or meetings of its working groups
- Assist the Director of Access to Justice with posting updates to the Manitoba Access to Justice website/blog
- Communicate with Manitoba's A2J Advisory Network members via the creation of a listserv
- Maintain a database in Teams for new/relevant A2J research reports and publications
- Other duties as assigned by the Dean of Law.
STUDENT SERVICES SUPPORT
- Proofread outgoing correspondence for ADJD Office
- Provide backup support to ADJD Office with reviewing and approving final grades
- Provide backup support to ADJD Office by processing the midterm grade letters for 1L students in January
- Assist the CDO with coordinating On Campus Interviews:
- Coordination of firm hops for Vancouver and Toronto
- Collection of registration forms and cheques
- Interview schedules
- Circulation and posting of job opportunities
- Assist the CDO with information sessions/workshops/receptions:
- Collecting RSVPs
- Booking Rooms
- Catering
- Making name tags and tent cards
