Administrative Collision Specialist

Job Description

Daily duties include but not limited to the following:

Hours: 1000-1830 or 1100-1930 

  • Obtain and organize Material for each accident Claim.
  • Communicate effectively with customers when damages have occurred
  • Arrange for safety personnel to attend collision scenes 
  • Report all 3rd party collisions to our insurance company 
  • Maintain accurate, organized up to date Collision Files
  • Follow up on assigned Collision Files / Claims
  • Go through manifests from trailers involved in collisions and enter comments. 
  • Maintaining excel spreadsheets for department,
  • Advising appropriate internal Staff of damages and delays in shipments ·
  • Review all collision documents to ensure they are completed accurately 
  • Daily review of Red book notes and opening accident files
  • Follow up on payments that should be received
  • Running of internal reports
  • Organize contractors to quote and repair Property damages, 
  • Work with various departments to ensure accuracy of quotes received.
  • Negotiate settlements with 3rd party owners for damages
  • Review and pay associated invoices up to your signing authority
  • Complete accurate final releases to be signed off by 3rd parties.
  • Request needed documents through insurance search bureau
  • Arrange for Estimates and Appraisals to be completed 
  • Assist in salvage sale & disposal
  • Assist in scheduling of repairs
  • Record costs associated with collisions
  • Invoice Auditing
  • Preparation and review of Subrogation packages
  • Ensure cost effective repairs are completed in a timely manner
  • Review and paying of freight claims as directed
  • Work with Garage Foremans, Terminal Managers, Safety departments, Dispatchers daily
  • Some travel may be required.
  • Some external training will be provided as needed

After hours duties may include but not be limited to the following:

  • Arranging and dispatching of appropriate individuals to the collision scenes as defined
    • Emergency Services, Reconstructionist, Engineers, Environmental Responders, Environmental Consultants, Ministry of Environment officers, Tow companies, Cargo recovery teams, Safety personal, mechanics, managers, Insurance adjusters, 
  • Advising Senior Management and Collision Group of Collision Status for major collisions that happen after hours
  • Report and follow up with Ministry of environment 
  • Report to Transport Canada any collisions involving Dangerous goods
  • Follow up with government agencies on Environmental cleanup and documentation

Department Relief

  • On Call evenings weekends and stats 24/7 when providing relief for Department staff during vacation or as needs arise determined by the Collision Manager. Compensation in place for on call shifts, company cell phone and laptop will be provided

Must be able to Accurately complete these tasks in a timely manner. A sense of urgency in completing the above mentioned tasks is of utmost importance. There could be significant financial implications for failure to do so. Must be able to multitask and prioritize effectively.

  • Must be flexible with regards to hours of work and call ins
  • Ability to perform well above average under pressure in stressful situations 
  • Ability to apply common sense solutions when dealing with challenges
  • Ability to think outside the box when dealing with challenges
  • Ability to negotiate settlements 
  • Ability to work independently & in a Team environment
  • Ability to remain very organized 
  • Ability to communicate timely & effectively with various departments
  • Accurate data entry
  • Ability to follow up on tasks and document files with accuracy
  • Computer literate 
  • Eye for detail
  • Knowledge of environmental compliance, regulations would be an asset
  • Knowledge of hours of service
  • Knowledge of Heavy Equipment used in the trucking industry
  • Knowledge of building construction and repairs
  • Knowledge of company geographical service areas
  • Knowledge of transportation safety
  • Previous dispatch experience would be considered is an asset
  • Previous mechanical experience would be considered an asset
  • Previous Insurance experience would be considered an asset
  • Previous driving experience would be considered an asset
