Coach Canada is seeking a highly organized and detail-oriented Maintenance Support Clerk to join our Maintenance Team in Mississauga.
This position plays an important role in supporting the day-to-day administrative and operational functions of the maintenance department. Working closely with maintenance leadership, maintenance personnel, vendors, and internal stakeholders, the Maintenance Support Clerk helps ensure maintenance programs, reporting, compliance activities, and workforce administration processes are effectively coordinated and maintained.

Key Responsibilities:
- Provide administrative and operational support to the Maintenance Department.
- Prepare, maintain, and organize maintenance records, reports, work order documentation, and departmental files.
- Track maintenance department KPIs and assist with reporting, data analysis, and performance monitoring initiatives.
- Maintain training, licensing, certification, and apprenticeship records and support regulatory compliance requirements.
- Support workforce administration activities, including vacation scheduling, shift postings, and departmental communications in accordance with Collective Bargaining Agreement requirements.
- Coordinate vendor, contractor, and service provider appointments, inspections, and maintenance-related activities.
- Process purchase orders, invoices, work orders, and other maintenance-related documentation in a timely and accurate manner.
- Support maintenance leadership with departmental reporting and administrative projects.
- Assist with monitoring operational information and identifying discrepancies requiring follow-up.
- Coordinate onboarding activities and training administration for new maintenance employees.
- Assist with audit preparation, compliance tracking, document control, and continuous improvement initiatives.
- Support the implementation and maintenance of departmental processes, procedures, and administrative controls to promote consistency and operational efficiency.
- Support various administrative and operational functions within the Maintenance Department as business needs evolve.
- Perform other related duties as assigned.
Qualifications
- Minimum two (2) years of experience in an administrative, maintenance support, transportation, fleet, logistics, or operations environment.
- Strong organizational, administrative, and time management skills.
- High attention to detail and accuracy.
- Strong computer skills with the ability to learn and utilize various software applications and fleet management systems.
- Previous experience with fleet maintenance, work order, inventory, or transportation-related software systems.
- Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
- Strong communication and interpersonal skills.
- Ability to manage multiple priorities and meet deadlines.
- Experience in a maintenance, transportation, fleet, manufacturing, or industrial environment is an asset.
- Experience in a unionized environment is an asset.
- Ability to work full-time on-site and support the day-to-day needs of a 24/7 maintenance operation.

Ce poste joue un rôle important dans le soutien des fonctions administratives et opérationnelles quotidiennes du département de l’entretien. Travaillant en étroite collaboration avec les gestionnaires de l’entretien, les employés de l’entretien, les fournisseurs et les intervenants internes, le ou la titulaire contribue à assurer la coordination et le maintien efficaces des programmes d’entretien, des activités de conformité, des rapports et des processus administratifs liés à la main-d’œuvre.

Principales responsabilités
- Fournir un soutien administratif et opérationnel au département de l’entretien.
- Préparer, tenir à jour et organiser les dossiers d’entretien, les rapports, la documentation des bons de travail et les dossiers du département.
- Assurer le suivi des indicateurs de performance (KPI) du département de l’entretien et contribuer aux activités de production de rapports, d’analyse de données et de suivi du rendement.
- Maintenir les dossiers de formation, de permis, de certifications et d’apprentissage, et soutenir les exigences de conformité réglementaire.
- Soutenir les activités d’administration de la main-d’œuvre, y compris la planification des vacances, les affichages de quarts de travail et les communications départementales conformément aux dispositions de la convention collective.
- Coordonner les rendez-vous, inspections et activités liés aux fournisseurs, entrepreneurs et prestataires de services.
- Traiter les bons de commande, factures, bons de travail et autres documents liés à l’entretien de façon précise et en temps opportun.
- Soutenir l’équipe de gestion de l’entretien dans la préparation de rapports et la réalisation de projets administratifs.
- Participer à la surveillance des informations opérationnelles et à l’identification des écarts nécessitant un suivi.
- Coordonner les activités d’accueil et d’intégration ainsi que l’administration de la formation des nouveaux employés de l’entretien.
- Participer à la préparation des audits, au suivi de la conformité, au contrôle documentaire et aux initiatives d’amélioration continue.
- Soutenir la mise en œuvre et le maintien des processus, procédures et contrôles administratifs du département afin de favoriser la cohérence et l’efficacité opérationnelle.
- Soutenir diverses fonctions administratives et opérationnelles du département de l’entretien selon l’évolution des besoins de l’entreprise.
- Effectuer toute autre tâche connexe assignée.
Qualifications
- Minimum de deux (2) années d’expérience dans un environnement administratif, de soutien à l’entretien, de transport, de gestion de flotte, de logistique ou d’opérations.
- Excellentes aptitudes en organisation, administration et gestion du temps.
- Grande attention aux détails et souci de l’exactitude.
- Solides compétences informatiques et capacité à apprendre et utiliser divers logiciels et systèmes de gestion de flotte.
- Expérience préalable avec des systèmes liés à l’entretien de flotte, aux bons de travail, à la gestion des stocks ou au transport.
- Maîtrise de la suite Microsoft Office, particulièrement Excel, Word et Outlook.
- Excellentes habiletés en communication et en relations interpersonnelles.
- Capacité à gérer plusieurs priorités et à respecter les échéanciers.
- Une expérience dans un environnement d’entretien, de transport, de gestion de flotte, manufacturier ou industriel constitue un atout.
- Une expérience dans un environnement syndiqué constitue un atout.
- Capacité à travailler à temps plein sur place et à soutenir les besoins quotidiens d’une opération d’entretien fonctionnant 24 heures sur 24, 7 jours sur 7.
