Position Overview

The incumbent is responsible for providing clerical support to the Manager Health Services – Adult Emergency and the Manager of Emergency Clinical Processes and SANE Program. Duties include processing job postings and related paperwork, maintaining position control, registering new hires in orientation sessions, ensuring that the Managers are aware of staffing levels, maintaining information and employee profiles in the ESP staff scheduling system, updating the day‑to‑day schedule changes in ESP and running staffing reports as requested. Coordinates the Managers appointment calendars and performs other clerical duties as assigned.

Experience

  • Minimum two years previous related experience, preferably in a health care setting.
  • Excellent interpersonal, organizational and decision‑making skills required.
  • Must have excellent English communication skills, both oral and written.
  • Preference will be given to those candidates with previous staff scheduling experience.
  • Must have strong time management skills, be highly motivated and able to function in a high‑volume position.

Education (Degree/Diploma/Certificate)

  • Complete Grade 12 education, Manitoba standards, required.
  • Successful completion of a recognized secretarial training program required.
  • Additional training in administration or management preferred.
  • A combination of education and experience may be considered.

Certification/Licensure/Registration

Qualifications And Skills

  • Typing 50 wpm and medical terminology (75% pass mark) required.
  • Knowledge of personal computers and proficiency in Microsoft Office Word, Excel and Outlook required.
  • Microsoft Office Access and PowerPoint preferred.
  • Human Resources Management certificate preferred.
  • Knowledge of Environment for Scheduling Personnel (ESP) or other service‑based staff scheduling systems preferred.

Physical Requirements

  • Must be able to work under stressful conditions in a high‑volume, high‑traffic environment.

Conditions of Employment

This position requires a current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check and Adult Abuse Registry Check as conditions of employment. The successful candidate will be responsible for any service charges incurred. A security check is considered current if it was obtained no more than six (6) months prior to the start of employment.
