Multi-State/Site Payroll Specialist

The End-to-End Payroll Specialist owns and is responsible for managing the complete payroll cycle across multiple FEINs, states, plants, shifts, and employee groups—ensuring accuracy, compliance, and timely pay for a diverse, often hourly workforce. This is a hands-on payroll administration role focused on payroll processing, compliance, employee support, and data accuracy, and is not responsible for HRIS implementation, system configuration, or payroll software deployment.

What You’ll Do

• Process full-cycle payroll across multiple manufacturing locations and shift schedules
• Validate and reconcile time and attendance data from multiple systems (time clocks, ERP, scheduling tools)
• Manage complex pay structures including overtime, shift differentials, bonuses, and incentive pay
• Maintain accurate employee data including new hires, terminations, transfers, and pay changes
• Ensure compliance with multi-state payroll tax laws and local wage regulations
• Partner with plant leadership and HR to resolve timecard discrepancies quickly and accurately
• Process payroll adjustments, retro pay, garnishments, and deductions
• Reconcile payroll results and support audit-ready reporting for Finance
• Support year-end processes including W-2s and compliance reporting

What Makes You Successful

• Experience in full-cycle payroll processing (end-to-end responsibility preferred)
• Background in manufacturing, industrial, or multi-site payroll environments strongly preferred
• Strong understanding of payroll compliance, tax regulations, and wage/hour laws
• Experience managing high-volume hourly payroll with shift-based workforces
• Ability to work across HR, Operations, and Finance teams in a fast-paced setting
• High attention to detail with strong problem-solving skills under tight deadlines
• Familiarity with payroll systems, timekeeping platforms, and ERP tools

Qualifications

• Associate’s or Bachelor’s degree in Human Resources, Accounting, Business, or related field preferred.
• 3+ years of payroll experience in a multi-state, multi-FEIN environment.
• Strong working knowledge of ADP Workforce Now (or similar HRIS/payroll systems).
• Familiarity with wage/hour laws, payroll tax filing, and benefit deductions.
• Proficiency in Microsoft Excel (pivot tables, v-lookups, etc.)
• High attention to detail and strong organizational skills.
