About the Role 

We are seeking a proactive and organized Healthcare Recruitment & HR Specialist to support our growing healthcare recruitment operations and internal HR functions. 

The role combines candidate recruitment and coordination with day-to-day HR administration, making it well-suited for someone who is comfortable working with healthcare professionals while helping establish and maintain effective internal HR processes. 

Key Responsibilities 

Recruitment & Candidate Coordination 

• Draft JDs, get them approved, and post them on Job Boards; maintain active job posts.  
• Screen candidates and conduct first-line screening of healthcare candidates, including physicians, specialists, allied health professionals, and other clinical roles. 
• Review candidate qualifications, experience, credentials, and suitability against position requirements. 
• Coordinate interviews, candidate communications, and follow-ups with hiring managers and leadership. 
• Maintain candidate records, recruitment trackers, and required documentation. 
• Support offer, onboarding, credentialing, and pre-employment processes. 
• Coordinate immigration, relocation, and related candidate documentation for international hires, working with appropriate internal and external stakeholders. 

MedSciX HR Operations 

• Support the development and administration of essential internal HR processes and policies. 
• Coordinate payroll administration and maintain relevant employee records. 
• Establish and maintain vacation, leave, and attendance tracking. 
• Support the development, implementation, and administration of the organization's Code of Conduct and core HR policies. 
• Maintain organized and confidential employee documentation. 
• Support employee onboarding, offboarding, and general HR administration. 

Qualifications & Skills 

• Bachelor's, Master's, or PhD in science.  
• Education in a specialized field such as Human Resources, Business Administration, Healthcare Administration, or a related field, or equivalent relevant experience, is a plus. 
• 5–10 years of experience in recruitment, HR, talent acquisition, or a related role; healthcare experience is preferred. 
• Experience coordinating recruitment processes and candidate interviews. 
• Familiarity with HR administration, payroll coordination, employee documentation, and onboarding processes is preferred. 
• Experience supporting international recruitment or immigration documentation is an asset. 
• Excellent communication, interpersonal, and organizational skills. 
• Strong attention to detail and ability to handle confidential information. 
• Proactive, resourceful, and comfortable working independently in a growing organization. 

Canadian work experience is good to have but not mandatory. Relevant international experience will be considered. 

Work Arrangement 
This is a hybrid position based in Waterdown, Ontario, Canada, combining remote work with 3 days of in-person attendance as required for 3-4 months, subsequently full-time in-office in Burlington/Hamilton
