Who you are

The Medical Affairs Coordinator oversees administrative support services within the department and provides coordination and operational support to Medical Staff programs and initiatives. Reporting to the Director of Medical Affairs, this role will collaborate closely with department leadership, Physician Talent Acquisition, the Regional Chief of Staff and the Senior VP of Academic, Research and Medical Affairs.

Qualifications

• You have a worked in healthcare operations/administration setting for a minimum of 2-4
• You hold a bachelor's degree in business administration, Healthcare Administration or a related field. A combination of education and experience may be considered.
• You have experience with healthcare operations, project management, process and quality improvement initiatives, information systems, and data analysis.

Skills

• Excellent organizational and coordination skills with the ability to manage priorities
• Strong analytical, problem-solving, and critical-thinking abilities with ability to identify and lead quality/process improvement opportunities.
• Excellent written and verbal communication skills with the ability to build collaborative relationships with executive leaders, physicians, operational leaders, and cross-functional stakeholders.
• Digitally savvy with the ability to seek out innovative solutions, adopt new technologies, and adapt to new tools and systems.
• Ability to work independently or as part of a team with ability to maintain excellent standards of accountability and professionalism.
• Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, and SharePoint).

What you will do

• Coordinate delivery of Medical Affairs initiatives and physician support activities by organizing workgroups, tracking milestones and action items, preparing reports, and ensuring assigned deliverables are completed within established timelines.
• Provide administrative and operational support to physician governance and Medical Affairs leadership through preparation of committee materials, audit and benchmarking documentation, governance tracking, meeting coordination, and implementation of decisions and follow-up actions.
• Supervise assigned regional administrative staff including scheduling, workload distribution, onboarding, training, attendance monitoring, performance documentation, and cross-zone coverage within established policies and management direction.
• Coordinate Medical Affairs administrative processes, maintain standardized workflows, procedures, templates, tracking systems, and identifying operational issues requiring escalation to the Director.
• Support the department's continuous improvement by identify operational inefficiencies and quality issues, and leading administrative process/quality improvement initiatives.
