Senior Venue Sourcing Specialist, Meetings & Events

About the Role
<\/h1>

Encore runs complex, high -stakes Meetings & Events programs for financial services clients across North America. The Venue Sourcing Specialist is a dedicated procurement expert who owns the full sourcing cycle, from RFP strategy through signed contract, across our entire M&E portfolio.
<\/p>

This is a focused, senior role. You will bring deep market knowledge, established hotel relationships, and the negotiating experience to secure terms that protect our clients and our business. You will work closely with event coordinators who own program management, and with leadership on commercial outcomes.
<\/p>

What You Will Do
<\/h1>

Sourcing Strategy and RFP Management
<\/h2>
  • Own the full RFP cycle for all M&E events from initial brief through venue presentation to client.
    <\/li>
  • Develop sourcing strategies tailored to event type, budget, location, and program objectives, not off -the -shelf templates.
    <\/li>
  • Prepare detailed, client -ready RFPs with clear evaluation criteria and timelines.
    <\/li>
  • Manage multiple concurrent RFPs without sacrificing quality or turnaround.

    Contract Negotiation and Risk Management
    <\/h2>
    • Lead all hotel and venue contract negotiations, securing favorable rates, attrition protection, cancellation terms, and concessions.
      <\/li>
    • Review contract terms with a risk lens, flagging exposure on force majeure, commission language, and liability clauses before anything goes to the client.
      <\/li>
    • Manage deposit schedules, option dates, and contractual milestones across the active portfolio.
      <\/li>
    • Keep the team proactively informed when contractual deadlines are approaching.
      <\/li>
    • Negotiate ground transfer contracts and any additional venue -side vendor agreements as required.
      <\/li><\/ul>

      Hotel Relationships and Market Intelligence
      <\/h2>
      • Maintain active relationships with key hotel properties in markets where our clients travel most.
        <\/li>
      • Stay current on hotel openings, renovations, brand transitions, and market dynamics in priority cities.
        <\/li>
      • Identify preferred property opportunities that could benefit multiple clients, and bring these to Leadership.
        <\/li>
      • Provide sourcing expertise early in the sales process when event teams are scoping new opportunities.
        <\/li><\/ul>

        Accommodations Support
        <\/h2>
        • Serve as the subject -matter expert on hotel block management, supporting event coordinators through the rooming period.
          <\/li>
        • Act as the point of escalation with hotel groups teams when issues arise on room blocks, reservations, or special requests.
          <\/li>
        • Ensure contracted terms are being honoured by the property and raise discrepancies promptly.
          <\/li><\/ul>

          Commission Oversight
          <\/h2>
          • Ensure expected commission amounts are captured accurately at the time of contract execution.
            <\/li>
          • Work in partnership with accounting to monitor commission collection across the portfolio.
            <\/li>
          • Act as the escalation point when commissions are outstanding, disputed, or at risk of aging past due.
            <\/li>
          • Bring unresolved commission issues to the Leadership's attention with context and a recommended course of action.
            <\/li><\/ul>

            Team Collaboration and Knowledge Transfer
            <\/h2>
            • Partner with event coordinators throughout the planning cycle, handing off sourcing deliverables clearly and completely.
              <\/li>
            • Build and maintain sourcing templates, venue reference materials, and market guides that raise the team's sourcing quality.
              <\/li>
            • Join client calls when venue expertise is needed.
              <\/li>
            • Contribute to process improvements as the team grows.
              <\/li><\/ul><\/span>

              Requirements <\/h3>

              What You Bring
              <\/h1><\/span>

              This role requires demonstrated, hands -on experience. A broad familiarity with events is not sufficient. We need someone whose professional identity is built around sourcing and contracting.
              <\/div>

              • Minimum 5 years of experience in hotel venue sourcing and contract negotiation, in an agency, TMC, or corporate travel setting. Three years is a starting point. Five or more is where this role lives.
                <\/span><\/li>
              • A track record of managing high -volume RFP pipelines, not occasional sourcing support on large programs.
                <\/span><\/li>
              • Direct experience negotiating hotel contracts independently, including attrition, cancellation, and commission clauses. Not reviewing contracts. Negotiating them.
                <\/span><\/li>
              • Experience with venue sourcing platforms and comfort working across standard corporate travel and event management tools.
                <\/span><\/li>
              • Ability to manage a high volume of active RFPs concurrently without a reduction in quality.
                <\/span><\/li>
              • Financial services or corporate event experience is a meaningful advantage.
                <\/span><\/li>
              • Bilingual proficiency in English and French is preferred.
                <\/span><\/li>
              • Strong written and verbal communication skills, with the ability to present venue options clearly to clients and internal stakeholders.

              • Exceptional attention to contract detail and deadline management across a complex portfolio. <\/span>

Le ou la Spécialiste senior en approvisionnement – réunions et événements est un expert dédié à l’approvisionnement, responsable de l’ensemble du cycle de sélection, de la stratégie d’appel d’offres jusqu’au contrat signé, pour l’ensemble de notre portefeuille Réunions et événements.

                Il s’agit d’un poste ciblé et de niveau senior. Vous apporterez une connaissance approfondie du marché, des relations établies avec les hôtels, ainsi que l’expérience en négociation nécessaire pour obtenir des conditions qui protègent à la fois nos clients et notre entreprise. Vous travaillerez en étroite collaboration avec les coordonnateurs d’événements, responsables de la gestion des programmes, ainsi qu’avec la direction sur les résultats commerciaux.

                • Prendre en charge l’ensemble du cycle d’appel d’offres pour tous les événements Réunions et événements, du brief initial à la présentation des options de lieux au client.
                  <\/li>
                • Élaborer des stratégies d’approvisionnement adaptées au type d’événement, au budget, à l’emplacement et aux objectifs du programme, plutôt que d’utiliser des modèles standardisés.

                • Préparer des appels d’offres détaillés, prêts à être présentés au client, avec des critères d’évaluation clairs et des échéanciers définis.
                  <\/li>
                • Gérer plusieurs appels d’offres en parallèle sans compromettre la qualité ni les délais de réponse.

                  Négociation contractuelle et gestion des risques
                  <\/h3>
                  • Diriger toutes les négociations de contrats avec les hôtels et les lieux événementiels, afin d’obtenir des tarifs avantageux, des protections en matière d’attrition, des conditions d’annulation favorables et des concessions.
                    <\/li>
                  • Examiner les clauses contractuelles sous l’angle du risque, en identifiant les expositions liées à la force majeure, à la commission et à la responsabilité avant toute présentation au client.
                    <\/li>
                  • Gérer les calendriers de dépôts, les dates d’option et les jalons contractuels de l’ensemble du portefeuille actif.
                    <\/li>
                  • Tenir l’équipe informée de façon proactive à l’approche des échéances contractuelles.
                    <\/li>
                  • Négocier les contrats de transport terrestre ainsi que toute autre entente avec des fournisseurs liés au lieu, au besoin.

                    Relations hôtelières et intelligence de marché
                    <\/h3>
                    • Maintenir des relations actives avec les principales propriétés hôtelières dans les marchés où nos clients voyagent le plus souvent.
                      <\/li>
                    • Rester à l’affût des ouvertures d’hôtels, rénovations, changements de bannière et évolutions du marché dans les villes prioritaires.
                      <\/li>
                    • Identifier des occasions de partenariats ou de propriétés préférentielles pouvant bénéficier à plusieurs clients et les présenter à la direction.
                      <\/li>
                    • Apporter une expertise en approvisionnement dès les premières étapes du processus de vente lorsque les équipes évaluent de nouvelles occasions.

                      Soutien à l’hébergement
                      <\/h3>
                      • Agir à titre d’expert de référence en gestion des blocs de chambres, en soutenant les coordonnateurs d’événements pendant toute la période d’hébergement.
                        <\/li>
                      • Servir de point d’escalade auprès des équipes responsables des groupes hôteliers lorsque des enjeux surviennent concernant les blocs de chambres, les réservations ou les demandes particulières.
                        <\/li>
                      • Veiller au respect des conditions contractuelles par les établissements et signaler rapidement tout écart.
                        <\/li><\/ul>

                        Suivi des commissions
                        <\/h3>
                        • S’assurer que les montants de commission attendus sont correctement consignés au moment de la signature du contrat.
                          <\/li>
                        • Collaborer avec l’équipe de comptabilité afin d’assurer le suivi de la perception des commissions pour l’ensemble du portefeuille.
                          <\/li>
                        • Agir comme point d’escalade lorsque des commissions sont en souffrance, contestées ou risquent de dépasser les délais de recouvrement.
                          <\/li>
                        • Porter à l’attention de la direction les dossiers de commissions non résolus, en fournissant le contexte et une recommandation sur la marche à suivre.
                          <\/li><\/ul>

                          Collaboration d’équipe et transfert de connaissances
                          <\/h3>
                          • Travailler en partenariat avec les coordonnateurs d’événements tout au long du cycle de planification, en assurant une transmission claire et complète des livrables liés à l’approvisionnement.
                            <\/li>
                          • Créer et maintenir des gabarits d’approvisionnement, des documents de référence sur les lieux et des guides de marché qui rehaussent la qualité du travail de l’équipe.
                            <\/li>
                          • Participer aux appels clients lorsque l’expertise sur les lieux est requise.
                            <\/li>
                          • Contribuer à l’amélioration des processus à mesure que l’équipe se développe.

                            Ce que vous apportez
                            <\/h2>

                            Ce poste exige une expérience concrète et démontrée. Une connaissance générale du secteur événementiel ne suffit pas. Nous recherchons une personne dont l’identité professionnelle est centrée sur l’approvisionnement hôtelier et la négociation contractuelle.
                            <\/p>

                            • Minimum de 5 ans d’expérience en approvisionnement hôtelier et en négociation de contrats, au sein d’une agence, d’un TMC ou d’un environnement corporatif lié aux voyages d’affaires.
                              <\/li>
                            • Expérience avérée dans la gestion d’un volume élevé d’appels d’offres, et non un simple soutien ponctuel sur de grands programmes.
                              <\/li>
                            • Expérience directe en négociation autonome de contrats hôteliers, notamment en matière d’attrition, d’annulation et de commissions. Il ne s’agit pas seulement de réviser des contrats, mais bien de les négocier.
                              <\/li>
                            • Expérience avec des plateformes de recherche de lieux et aisance à travailler avec les outils standards de gestion des voyages d’affaires et des événements.
                              <\/li>
                            • Capacité à gérer simultanément un grand nombre d’appels d’offres actifs sans compromettre la qualité.
                              <\/li>
                            • Une expérience dans les services financiers ou les événements corporatifs constitue un atout important.
                              <\/li>
                            • Bilinguisme français -anglais préféré.
                              <\/li>
                            • Excellentes compétences en communication écrite et orale, avec la capacité de présenter clairement des options de lieux à des clients et à des parties prenantes internes.

                            • Souci du détail exceptionnel en matière de contrats et excellente gestion des échéances dans un portefeuille complexe.
