Project Admin Support

Job Responsibility:

NOVA was incorporated in 2008 and has experienced significant growth since then with an average of 60-80 employees. We service many different industries and customers in the following areas:

• Plumbing and Heating
• Mechanical (Commercial)
• Commercial Construction
• Underground Utility Construction
• Overhead Power and Live Line work
• Excavation & Civil Construction

We are based in Bonnyville, Alberta.

The Project Admin Support, under the direction of the CFO, will support the Project managers in the construction and mechanical divisions for the entire lifecycle of project estimating and management. The Project Support will work closely with the Project Managers to work together to ensure the efficient delivery of project deliverables, effective quality control, clear communication of expectations to stakeholders, and upward reporting to senior management are critical tasks that must be performed throughout each projects lifecycle. In addition to the direct support to the project team, this position will provide other admin support services as required. This is a full time position with work hours 7am- 4pm.

Job Duties

• Assist Project Management in maintaining the entire lifecycle of the company's project portfolio, ranging from estimating, planning to operational.
• Assist Project Managers with invoicing and any required permits/paperwork
• Review and prepare documents, reports and other correspondence materials for the Project Management team.
• Assist with project specifications and estimates, O and M, pre qual, bid closures
• Prepare required documents for project bonds and insurances
• Prepare Subcontractor agreements and ensure compliance
• Support Project Specific Safety Requirements (Pre job Formal Hazard, Prepare Safety Material for Site, Collect and Review Safety Paperwork to ensure compliant, ensure workers have Safety Tickets)
• Liase with field employees as required
• Maintain a professional image and demeanour with all employees, management, executives and visitors at all times.
• Perform other duties as assigned.

Requirements

• Education in construction field or Business Administration is an asset
• Understanding of cost control and project financial management
• Able to effectively communicate with all types of staff, including technical, professional, and upper management.
• Strong computer skills, including working knowledge of Microsoft office online, Word, Excel, and Outlook.
• Attention to detail and strong organizational skills
• Ability to create and edit project documents, materials, and presentations.
• Able to effectively communicate both verbally and in writing.
• Flexibility to adjust to shifting priorities and deadlines.
