Position Summary
Reporting to the CEO, the Director, Finance will be an important and integral part of the Leadership Team. Director, Finance will lead Dixon Hall's financial management function, providing strategic and operational oversight of accounting, budgeting, forecasting, financial reporting, and internal controls across the Agency. The Director ensures the financial integrity of Dixon Hall's operations, safeguards its resources, and provides senior management and the Board with the financial insight needed to support sound decision-making in service of Dixon Hall's mission.
The Director, Finance will also liaise with the Board and participate in Board meetings, work with the Chair of the Finance Audit and Risk Committee, and other Board committees as required; undertake and update the Risk portfolio for the agency and manage the finance department in the areas of accounts payable; confirm the accuracy of monthly remittances; record deposits to accounts receivable as well as; you will be responsible for the annual audit working papers and the work required by the finance department to coordinate the annual audit as well as ensuring timely and accurate invoicing; update and maintain the accuracy of the internal database(s); ensure the completion of all administrative duties related to the Finance Department.
Duties and Responsibilities
Strategic Financial Leadership- Serve as Dixon Hall's senior financial strategist, translating the Agency's mission and strategic plan into a sound, sustainable financial framework.
- Advise the CEO and Board on the financial implications of strategic decisions, including program expansion, new funding opportunities, and organizational risk.
- Build and maintain Dixon Hall's financial sustainability strategy, including reserve fund policy, revenue diversification, and long-term capital planning.
- Monitor the regulatory and funding landscape (provincial, federal, and municipal) affecting the non-profit and charitable sector, and advise leadership on emerging risks and opportunities.
- Lead Agency-wide operational and capital budgeting and forecasting processes, aligning departmental budgets to strategic priorities.
- Analyze cost and revenue performance against budget across all programs and funding streams to assess financial performance and risk.
- Investigate budget and reporting variances and lead corrective action in partnership with program leadership.
- Identify and act on opportunities for cost efficiency and revenue growth across the Agency.
- Oversee fund accounting practices to ensure accurate tracking and reporting of restricted and unrestricted funding across all programs and funders (municipal, provincial, federal, and philanthropic).
- Ensure compliance with individual funder reporting requirements and deadlines, including government funding agreements administered through Ontario Health Teams and other current provincial/municipal funding bodies.
- Oversee the integrity of client billing, fee revenue, and accounts receivable processes across program areas, ensuring accurate reconciliation between program systems (e.g., CIMS) and the Agency's accounting system.
- Oversee the accuracy and timeliness of donation processing and reconciliation between the donor database (e.g., SUMAC) and the accounting system, in partnership with Fund Development.
- Prepare and present financial statements, variance analyses, and strategic financial reporting to the CEO, Board, and Finance/Audit Committee.
- Ensure the adequacy and ongoing effectiveness of internal controls across all financial processes.
- Develop, monitor, and enforce financial policies and procedures governing accounting, budgeting, forecasting, and project/program tracking.
- Lead the annual external audit process and serve as primary liaison to the Agency's auditors.
- Ensure timely and accurate charitable regulatory filings (including the CRA T3010 Registered Charity Information Return) and compliance with all applicable non-profit financial regulations.
- Lead the modernization of Dixon Hall's financial systems and processes, identifying opportunities to automate manual, repetitive tasks (e.g., billing reconciliation, revenue posting, payroll allocation, donation reconciliation) currently performed across CIMS, ADAGIO, and SUMAC.
- Champion the adoption of integrated, cloud-based financial and reporting tools that reduce manual data entry, minimize reconciliation errors, and free up Finance team capacity for higher-value analysis and strategic support.
- Evaluate and recommend automation opportunities in funder reporting, program cost allocation, and month-end close processes, balancing efficiency gains against cost, staff capacity, and data security requirements.
- Partner with IT and external vendors to scope, implement, and change-manage new financial systems or automation tools, ensuring proper internal controls and audit trails are maintained throughout.
- Build the Finance team's digital capability, ensuring staff are trained and equipped to work effectively with new tools and systems as automation is introduced.
- Ensure accurate accrual and allocation of payroll & vendor costs, including benefits allocation by program and funding source.
- Oversee accurate program-based cost allocation for government and third-party funded positions.
- Ensure payroll-related financial reporting (including CRA remittance reconciliation) is accurate and current.
- Ensure CRA compliance on all financial matters
- Lead, develop, and supervise the Finance department, fostering a culture of accuracy, accountability, and continuous improvement.
- Hire, train, coach, and formally evaluate Finance team members.
- Build team capability to support the Agency's growing scale and complexity.
- Partners with Directors and program leaders across Dixon Hall to ensure financial decisions support — and are informed by — operational and client-service realities.
- Champion a client-focused, mission-driven approach to financial management, recognizing Finance's role in enabling Dixon Hall's community impact.
- Drive process improvements and technology modernization (accounting systems, reporting tools) to increase efficiency and data reliability across the Agency.
Qualifications
- CPA, CGA, College Diploma in Business Administration, Finance, Accounting, or a related field or equivalent senior level financial experience
- 10-15 years of experience in Finance with 10 years in managerial positions.
- Ability to oversee and manage teams
- Experience with budgets, accounting, and reporting systems
- Strong working knowledge of Generally Accepted Accounting Principles
- Proficiency with a variety of accounting software, CIMS for billings and SUMAC accounting software and spreadsheet programs and applications
- Effective attention to detail and a high degree of accuracy
- Ability to build and maintain lasting internal and external relationships
- High level of proficiency with Microsoft Office productivity suite
- Knowledge and experience with office operational equipment
- Experience with not for profit funding and reporting
- Excellent written and verbal communication skills with a strong ability to exchange knowledge
- Strong verbal and written English language communication skills; fluency in additional languages, relevant to the Agency’s communities of service, will be considered an asset
- Must be qualified to work in Canada legally for the employer.
- Able to provide a Vulnerable Sector Screening check with a ‘Clear’ or satisfactory result that meets the operational requirements of the Agency.
