Specialist, Facility Maintenance Planning - CZ

The Wilder Institute’s Calgary Zoo is seeking a  full-time, permanent Specialist, Facility Maintenance Planning who will be responsible for the development and planning of scheduled and demand activities utilizing a computerized maintenance management system (CMMS) (Maintain X), as well as the reporting of key performance indicator for the Maintenance & Building Operations team.

This position collaborates with many facilities stakeholders to develop and implement asset management plans encompassing all facilities (including new construction), structures, fleet, building systems, access control and grounds. In addition, this position assists in the planning and execution of assigned projects.

Location:  This is an onsite position based at the Wilder Institute’s Calgary Zoo in Calgary, Alberta.

What you will do

Maintenance Planning:

• Plans, schedules and coordinates operations, maintenance, zoo support and project work as needed to conduct repairs or complete preventive maintenance activities, ensuring all regulatory compliance and Association of Zoos and Aquarium (AZA) requirements are met.
• Champions the CMMS and implements improvements and upgrades to ensure efficient and effective use of resources.
• Prepares time and cost estimates for work orders and projects to optimize resource allocation.
• Procures and oversees the work of external suppliers & service providers; negotiates and administers contractual agreements for operations and maintenance work as per the Wilder Institute’s procurement policy.
• Assists with establishing the qualifications criteria and selection of preferred vendors.
• Maintains up to date documentation for fleet and associated equipment.
• Fosters a team environment to fully support the strategic objectives of the organization using metrics to measure performance focusing on continuous improvement.
• Develops and reports on departmental key performance indictors.
• Standardizing, ordering, inventory tracking and reporting on parts, materials, tools, Personal Protective Equipment.
• Effectively collaborates and supports stakeholders to continuously develop and update the Wilder Institute’s Calgary Zoo preventive maintenance program.
• Maintains a safe working environment for managers, staff, assets, contractors and Wilder Institute’s Calgary Zoo’s animals including training, hazard assessments, and safety briefings.

Asset Management, Project and Financial Planning:

• Leads the development and regular updates of the asset management plan and related asset condition assessments for the Maintenance and Building Operations team.
• Developing new and updating existing asset registers, integration to the CMMS and implementing preventative maintenance procedures and frequencies.
• Assists with the budget development for the building operations and maintenance team.
• Participates in the development of the multiyear capital plan and the management of related projects.
• Manages operational and maintenance programs and projects including but not limited to scope development, design development, tendering, awarding, contract development and construction services.

Other duties and responsibilities as assigned.

What you will bring

• Either a Certified Engineering Technologist, Journeyperson Trade, or Post Secondary Certificate in a related field is required. A Post Secondary degree program in a related field is an asset.
• Project Management Professional, Maintenance Management Professional, Facility Management Professional or other equivalent certifications is preferred.
• Class 5 Driver License issued in Alberta.
• At least 7 years of operational facilities maintenance & asset management experience, including 3 years of facilities project management experience.
• Experience utilizing and developing computerized maintenance management systems is required.
• Experience developing and maintaining asset management plans.
• Proven ability to provide estimating and cost control for maintenance and construction activities.
• Strong organizational and planning skills demonstrate abilities to effectively multi-task, set priorities, manage time, responsibilities and multiple schedules and concurrent projects.
• Proficient in Microsoft Office Suite.
• Knowledge of maintenance techniques and industry best practices.
• Breaks down problems and issues into sub-components and then assesses the costs, benefits and risks of various options prior to selecting a particular approach.
• Demonstrates an ongoing awareness of budget levels, works to stay within budget, fully tracks expenses, and the effects of exceeding them.
• Ability to efficiently and effectively manage resources, allowing for contingencies and ensuring that resources are used in alignment with the larger needs of the organization.
• Strong communication to effectively and clearly communicate progress, deliverables, challenges, and budget updates on assigned projects.
• Skill to manage each stage of a project to ensure that commitments are met throughout the project life cycle, including timelines, budget, roles and responsibilities of stakeholders, and monitoring project performance is preferred

Working Conditions

• This role is an on-site role, allowing for high collaborating and management of site-based projects.
• Primarily sedentary, administrative type work (approximately 70% of the time)
• The remaining time requires extended periods of mobility, including working indoors/outdoors and occasionally moving equipment weighing up to 50lbs.
• Work involves moderate amounts of mental and visual demands, including computer operation and concentration. Include frequency and duration of mental/sensory effort wherever possible.
• Wearing safety wear including eye protection, safety boots, hardhats and other as deemed appropriate as per the job specific hazard assessment.

The Wilder Institute’s Calgary Zoo is an outdoor facility and all staff working at the zoo must be comfortable working in a large variety of outdoor conditions. The Wilder Institute’s Calgary Zoo follows the advice of Environment Canada when responding to temperature and air quality issues.
