Kootenay Columbia College (KCC) is located in the beautiful, small city of Nelson, BC and the heart of KCC lies in our amazing teaching faculty and students.

Job Overview:

The Registrar is responsible for overseeing aspects of student records, admissions, enrollment, and academic administration at the college. This includes managing communication with students, ensuring regulatory compliance, administering admissions processes, and maintaining accurate academic records. The Registrar will collaborate with various departments to ensure smooth operations and provide students with an exceptional academic experience.

Key Responsibilities:

Student Communication & Support

? Serve as the primary contact for students to address inquiries, complaints, and feedback, escalating issues to relevant staff.

? Assist with academic planning, including course scheduling, enrollment options, and program changes.

? Communicate and enforce policies on attendance, academic performance, and dispute resolution.

? Tracking and managing student clinical hours to ensure they have met the minimum required standards.

? Assisting students in their preparation for licensing exams.

? Creating, implementing, and maintaining student class schedules to ensure alignment with program requirements.

Admissions & Enrollment

? Coordinate admissions processes, including tracking leads, reviewing documents, and

conducting interviews.

? Manage application and enrollment documents, ensuring compliance with policies and

timelines.

? Process transfer credits, PLAs, scholarships, deferrals, and withdrawals.

? Update and distribute acceptance packages, tuition contracts, and textbook lists.

? Support international students with study permit requirements and Letters of Acceptance.

Academic Administration and Compliance

? Oversee LMS for attendance, academic records, and student enrollment.

? Schedule and organize exams, presentations, and other assessments.

? Prepare transcripts, diplomas, report cards, and compliance records for licensing bodies.

? Manage curriculum updates and ensure alignment with academic standards.

? Support compliance with clinic hour requirements and licensing exams.

? Stay updated on licensing body requirements across provinces, assisting students with

documentation for licensing exams and certifications.

? Ensure compliance with regulatory bodies including program requirements, clinic hour

tracking, and reporting.

Event & Workshop Coordination

? Plan and facilitate student events like Welcome Day, field trips, and graduation

ceremonies.

? Plan and schedule the Introduction to Massage Therapy Workshop and similar events.

? Organize logistics for events, including food orders, waivers, and confirmation

documents, and collaborate with team members to ensure workshops and presentations

run smoothly.

Financial & Data Management

? Ensure timely payment and processing of fees, coordinating with the accountant as

needed.

? Advise applicants on program costs and financial planning.

? Process and track student loans, SIMS submissions, and Appendix 3 requests.

? Maintain organized records of student contracts, transcripts, and compliance documents per PTIRU requirements.

Pay: $55,000.00-$65,000.00 per year

Education:
