This role is accountable for the home’s financial management, payroll

and benefits, scheduling and workforce administration, and other key administrative processes, with a focus on compliance with company and regulatory requirements. Through your leadership and problem-solving skills, you will drive efficiencies and foster a welcoming environment for residents, families, and employees.

Operations Manager (temporary)

Mission

As the Operations Manager, you will contribute to Extendicare's purpose of Helping People Live Better by leading all business and administrative functions in a long-term care home. You will lead and mentor administrative staff while working closely with the Executive Director and leadership team to support the home’s daily operations.

This role is accountable for the home’s financial management, payroll

and benefits, scheduling and workforce administration, and other key administrative processes, with a focus on compliance with company and regulatory requirements. Through your leadership and problem-solving skills, you will drive efficiencies and foster a welcoming environment for residents, families, and employees.

Key Outcomes

  • Ensure accurate and timely completion of key Human Resource (HR) processes, including employee lifecycle updates, bi-weekly payroll, scheduling, and benefits. Serve as the in-home subject matter expert for these functions.
  • Oversee resident billing accounts and collection processes to ensure timely payments and accurate record-keeping.
  • Support the home’s financial health by proactively managing budgets, monitoring spending, and meeting financial targets. Regularly review financial reports to identify and investigate variances and take timely action to resolve issues and improve accuracy.
  • Maintain compliance with provincial legislation, company policies, regulatory standards, and collective bargaining agreements across all administrative and financial functions within a unionized environment.
  • Lead and develop a high-performing administrative team that demonstrates Extendicare’s values and delivers exceptional service to our residents, families and employees.

Key Responsibilities

  • Financial Acumen – Lead and execute financial tasks such as processing payments, coding time and expenses, managing resident accounts and collections, and maintaining accurate records for banking, petty cash, and provincial funding.
  • Analytical Thinking – Review and interpret payroll, scheduling, budget, financial and HR data to ensure accuracy, identify trends, flag discrepancies, and provide insights that support strategic and cost-effective decisions, while recommending and implementing corrective actions as needed.
  • Customer Service - Support residents, families and employees by acting as primary contact for financial or HR inquiries, resolving issues with empathy and professionalism.
  • Lead – Supervise and coach the administrative team, fostering a high- performing, service-oriented, and collaborative office environment. Manage new employee onboarding activities.
  • Collaborate – Partner with the Executive Director, home leadership, union partners, regional teams and head office resources to support daily home operations and contribute to a collaborative, solution-focused environment.
  • Maintain – Oversee employee files, HR documentation, learning completion, business processes, and office workflows, ensuring accuracy, confidentiality, and compliance with provincial legislation, company policies, collective bargaining agreements and regulatory standards.
  • Continuous Improvement – Enhance efficiency and performance by streamlining back-office processes, applying data insights, and supporting ongoing home initiatives, projects and local implementation of corporate projects.
  • Values Alignment – Promote Extendicare’s Mission, Vision, and Values by demonstrating integrity, respect, and a commitment to residents’ rights.
  • Flexibility – Assume additional responsibilities or tasks that are unique to a specific home or are temporary in nature.

Required Education, Credentials And Experience

  • Post-secondary education in Business Administration, Accounting, or Human Resources.
  • Proficiency in Microsoft Office Suite (Word, Outlook, Teams, SharePoint) and advanced proficiency in Microsoft Excel.
  • Demonstrated working knowledge of cloud-based systems such as Workday and PointClickCare preferred.
  • 3-5 years of experience in business or office operations preferred; experience in long-term care or healthcare is an asset.
  • 2-3 years of supervisory or people leadership experience preferred.
  • Demonstrated expertise in HR, payroll, benefits administration, scheduling, accounts receivable/payable, and a strong working knowledge of practices within a unionized environment, including the interpretation and application of collective agreements.
  • Proven ability to apply organizational skills, analytical thinking, and attention to detail while maintaining superior customer service in a fast-paced, multi- functional environment.
  • Demonstrated ability to manage multiple priorities under tight deadlines.
  • Must provide a complete and current (within six months) Vulnerable Sector Check (including a Criminal Background Check) or be willing to obtain one.
  • Must be bilingual French and English in both spoken and written.

Ce poste est responsable de la gestion financière du foyer, de l’administration de la paie et des avantages sociaux, de la planification des horaires et de l’administration de la main-d’œuvre, ainsi que d’autres processus administratifs clés, tout en veillant au respect des exigences réglementaires et des politiques de l’entreprise. Grâce à vos compétences en leadership et en résolution de problèmes, vous favoriserez l’efficacité opérationnelle et contribuerez à créer un environnement accueillant pour les résidents, leurs familles et les employés.

Résultats clés

  • Assurer l’exécution exacte et en temps opportun des principaux processus de ressources humaines (RH), notamment les mises à jour du cycle de vie des employés, la paie aux deux semaines, la gestion des horaires et des avantages sociaux. Agir à titre d’expert local pour ces fonctions.
  • Superviser la facturation des résidents et les processus de recouvrement afin d’assurer des paiements ponctuels et une tenue de dossiers rigoureuse.
  • Soutenir la santé financière du foyer en gérant de façon proactive les budgets, en surveillant les dépenses et en atteignant les objectifs financiers. Examiner régulièrement les rapports financiers afin de repérer et d’analyser les écarts, puis prendre rapidement les mesures correctives nécessaires.
  • Assurer la conformité à la législation provinciale, aux politiques de l’entreprise, aux normes réglementaires et aux conventions collectives dans toutes les fonctions administratives et financières au sein d’un environnement syndiqué.
  • Diriger et développer une équipe administrative performante qui incarne les valeurs d’Extendicare et offre un service exceptionnel aux résidents, aux familles et aux employés.

Principales responsabilités

  • Sens des affaires et gestion financière - Diriger et exécuter les tâches financières telles que le traitement des paiements, l’attribution des codes de temps et de dépenses, la gestion des comptes des résidents et du recouvrement, ainsi que la tenue de dossiers exacts concernant les opérations bancaires, la petite caisse et le financement provincial.
  • Esprit analytique - Examiner et interpréter les données relatives à la paie, aux horaires, aux budgets, aux finances et aux ressources humaines afin d’assurer leur exactitude, de repérer les tendances et les écarts, et de fournir des analyses favorisant des décisions stratégiques et rentables. Recommander et mettre en œuvre les mesures correctives nécessaires.
  • Service à la clientèle - Soutenir les résidents, les familles et les employés en agissant comme principal point de contact pour les questions liées aux finances ou aux ressources humaines, et en résolvant les problèmes avec empathie et professionnalisme.
  • Leadership - Superviser et accompagner l’équipe administrative en favorisant un environnement de bureau performant, collaboratif et axé sur le service. Gérer les activités d’intégration des nouveaux employés.
  • Collaboration - Travailler en partenariat avec le directeur général, l’équipe de direction du foyer, les représentants syndicaux, les équipes régionales et les ressources du siège social afin de soutenir les opérations quotidiennes et de contribuer à un environnement axé sur les solutions.
  • Gestion et conformité - Superviser les dossiers des employés, la documentation RH, les formations obligatoires, les processus administratifs et les flux de travail du bureau, tout en assurant l’exactitude, la confidentialité et la conformité à la législation provinciale, aux politiques de l’entreprise, aux conventions collectives et aux normes réglementaires.
  • Amélioration continue - Améliorer l’efficacité et la performance en optimisant les processus administratifs, en exploitant les données pour orienter les décisions et en soutenant les initiatives du foyer ainsi que la mise en œuvre locale des projets corporatifs.
  • Alignement sur les valeurs - Promouvoir la mission, la vision et les valeurs d’Extendicare en faisant preuve d’intégrité, de respect et d’un engagement envers les droits des résidents.
  • Flexibilité - Assumer d’autres responsabilités ou tâches propres à un foyer particulier ou de nature temporaire.

Formation, Qualifications Et Expérience Requises

  • Diplôme d’études postsecondaires en administration des affaires, en comptabilité ou en ressources humaines.
  • Maîtrise de la suite Microsoft Office (Word, Outlook, Teams, SharePoint) et excellente maîtrise de Microsoft Excel.
  • Connaissance pratique des systèmes infonuagiques tels que Workday et PointClickCare, un atout.
  • De 3 à 5 ans d’expérience en administration des affaires ou en gestion de bureau, de préférence; une expérience dans les soins de longue durée ou le secteur de la santé constitue un atout.
  • De 2 à 3 ans d’expérience en supervision ou en gestion de personnel, de préférence.
  • Expertise démontrée en ressources humaines, administration de la paie et des avantages sociaux, gestion des horaires, comptes fournisseurs et comptes clients, ainsi qu’une solide connaissance des pratiques propres à un milieu syndiqué, notamment l’interprétation et l’application des conventions collectives.
  • Capacité démontrée à faire preuve d’organisation, d’esprit analytique et de souci du détail tout en offrant un service à la clientèle de qualité supérieure dans un environnement dynamique et multifonctionnel.
  • Capacité démontrée à gérer plusieurs priorités dans des délais serrés.
  • Doit fournir une vérification du secteur vulnérable complète et à jour (datant de moins de six mois), incluant une vérification des antécédents judiciaires, ou être disposé à l’obtenir.
  • Doit être bilingue en français et en anglais, à l’oral comme à l’écrit.
