Come join us! We are hiring a permanent, Part-Time, Medical Secretary with our Nephrology Department.

Pay Grid: $27.37 - $28.34 /hour

Reporting to the Clinical Manager of Nephrology, the Medical Secretary for Nephrology Clinics performs duties which facilitate the efficient operation of the Nephrology Program including the Nephrology and CKD Clinics, Home Dialysis Program and Hemodialysis Program. They deal with the patients, families, staff, outside resources and the public in a professional polite manner.

Duties will include but are not limited to:
• Answers the telephone, retrieves internet messages, and receives faxed documents and distributes the messages to the appropriate Physician/Nurse.
• Reviews all incoming laboratory results for the Renal Clinic, PRI Clinic and the Peritoneal Dialysis and Hemodialysis programs.
• Records Lab results on the appropriate patient flowsheets for the PRI and Renal Clinics and flags any changes for the RN and/or covering Nephrologist.
• Prepares all charts for the Renal Clinics/PRI Clinics with recent labs and flowsheets.

• Receives all consults for Nephrologists, prepares the charts, and books appropriately.
• Assist Nephrologists with clerical support for all Nephrology clinics.
• Processes Physician and non-medication Nursing orders.
• Schedules appointments for patients in PRI or Renal clinics.
• Books patients into clinics and diagnostics as ordered by Physicians and Nurses and makes associated arrangement such as transport, chart copy, etc.
• Assists the Nurses in the Pre-transplant workup process set out by the Ottawa Hospital Transplant Team.
• Performs computer activities as required e.g. Oasis Lab Systems.
• Track monthly lab results for Renal Clinic Patients prescribed Epo therapy.
• Work with laboratories throughout Renfrew County to arrange for efficient communication of lab results.
• Take dictation for consultations and clinics from Nephrologists.
• Enter registration information for all hemodialysis visits.
• Collect and submit monthly statistics related to Program activity to appropriate area.
• Coordinate and manage the filing of information for all Nephrology Patients.

Qualifications

Qualifications:
• Grade XII Graduate
• Graduate of an approved Office Administration (Medical) Program 
• Medical Terminology Certificate essential
• Computer skills and demonstrated knowledge of computer applications used in a hospital setting essential
• Demonstrated keyboarding ability essential
• Knowledge of patient scheduling essential
• Transcription Certificate an asset
• Completion of Ward Clerk Program an asset
• Experience with ward clerk procedures such as transcribing physician orders an asset
• Well-developed organization and time management skills
• Excellent interpersonal and communication skills
• Ability to work independently as well as collaboratively as a team member
• Ability to perform the duties within the physical demands of the work area
• Ability to adapt to a rapidly changing environment with many interruptions
• Ability to work all shifts occurring on posted schedules
• Criminal records check within last six (6) months mandatory
