Sales & Event Support Assistant

Elm City Events is seeking a motivated and detail-oriented Sales & Events Support Assistant to join our team. This role has been created to support a dedicated sales development mandate for a Destination Management client. You will be focused on prospect development, market research, and sales pipeline development in a collaborative, accountable, and professionally supported environment.

Responsibilities

Sales Prospecting & Lead Generation

• Conduct targeted research to identify qualified meeting and convention leads
• Research associations, corporations, and organizations that are strong candidates to host events in the destination, compiling relevant data to support the sales process
• Monitor competitive destinations and track industry intelligence relevant to the client's strategic plan
• Research upcoming conventions, conferences, and association meetings that could be attracted to the destination and its venues

Pipeline Management & Database

• Develop and maintain detailed prospect lists, contact databases, and account profiles, using the database as a true sales pipeline tool
• Support sales pipeline development and tracking, providing regular reporting on prospecting activity, pipeline progress, and key performance metrics
• Coordinate with client and team to align prospecting priorities with target markets and the sales calendar

Bid Support & Client Qualification

• Assist in the preparation of destination presentations and supporting documents for bid packages
• Screen and qualify clients for FAMs, site visits, and event invite lists, ensuring attendees represent sales-qualified leads aligned with the client's target markets and conversion goals
• Attend sales strategy calls and briefings as required

Event & Activation Support

• Assist with planning events and activities, including booking and coordinating vendors, development and tracking of budgets, and materials preparation
• Assist with on-site event execution for events and activations, including manning registration and welcome tables
• Design and produce name tags, tent cards, and other event signage and materials
• Source, organize, and package gifts and branded items for events, FAMs, site visits, and client touchpoints
• Support event set-up, tear-down, and day-of logistics as required
• Assist with attendee communications, confirmations, and pre-event coordination as needed

What We're Looking For

• Experience or strong interest in sales support, business development, or marketing research
• Excellent written communication skills, as you'll be drafting professional sales correspondence regularly
• Strong research skills with the ability to identify, compile, and organize complex information
• Comfort with CRM or database tools; experience with CRM platforms is an asset
• Highly organized, self-directed, and able to manage multiple priorities in a fast-paced environment
• A proactive mindset. You're comfortable picking up the phone for cold outreach and don't wait to be told what to do next
• Familiarity with the meetings, conventions, and tourism industry is considered an asset
• Proficiency with Microsoft 365 (Outlook, Word, Excel, Teams)
• Proficiency with Canva and similar design tools is considered an asset

Work Environment & Tools

• Dedicated workspace with access to meeting rooms and shared office facilities
• Laptop with Microsoft 365, including cloud storage and a dedicated ECE business email address
• Project management software and access to sales prospecting tools and research databases appropriate to the scope of work

Compensation

$50,000 - $55,000 annually
