Assistant Event Operations Manager

Job Responsibility:

The Assistant Operations Manager (AOM), is a senior supervisory role within the operations team who plans, strategizes, executes and helps lead the crew and leadership team for the daily, weekly , monthly and overall success of the operations plan. This is both a small and large scale strategy creating & executing position.

The AOM position works closely with the Event Operations Manager, the operations team and the Project Management team to ensure efficient and effective management and administration of the operations department.

OneWest Events Inc is a 24/7 365 day a year operation and as such the AOM is expected to work a non-traditional schedule and be personally flexible enough to change their schedule as business needs require.

Reports to Operations Manager

Specific Job Duties to this Role

  • Effective & efficient communication to all positions. Collecting information from the Project Management team and distributing it to the operation team through the schedule and To Do list.
  • Creating, maintaining, revising and actively managing the crew schedule and the To Do list.
  • Administration of the Picklist and notes gathered from the production meeting to ensure the orders are 100% ready to go while supervising and participating in the loading & unloading of vehicles including tool boxes and specialized tools.
  • Proactively manages cross rental pick ups & returns. Verifies the number of items picked up and returned at every cross rental.
  • Identifies, creates, executes and maintains new and existing policies and procedures.
  • Ensuring all operations related reporting including the JHAs, close calls, Weekly Vehicle and daily Lockup lists are being completed
  • Documentation and administering disciplinary action for all Operations positions.
  • Creating, maintaining and reviewing Standard Operating Procedures (SOPs) for all operations related activities.
  • Ensures the Operations team is client care focused at all times through positive client interaction, positive language and communication relating to clients
  • Focused on the end user guest experience. Works as a second point of contact (or primary contact when no Project Managers/Coordinators) for clients
  • Maintains a positive relationship with Venue contacts & Vendors. Treats all people as potential clients.
  • Balances client care with operations team leadership
  • Creates and executes a plan to ensure all clients requirements/expectations are being met including, but not limited to, arriving and leaving onsite on time (every time), confirming orders are 100% accurately packed and in “client ready” form, etc.
  • Active On Site leadership. Onsite often, especially during busy periods. When not assigned a project will “pop in” at various times (sets, strikes or both) to check quality, efficiency, effectiveness and Health & Safety.
  • Defines, demonstrates & imposes the highest achievable standards. Fast pace setters with high level settings. Maintains & upholds OneWest standards of Health & Safety, Quality, Efficiency and Effectiveness at all times.
  • Contributes to the overall success of OneWest Events by communicating with other departments and always maintaining a position of a natural leader even with other departments.
  • Effectively uses resources provided- via labor, equipment, money for repairs & new product
  • Extensive knowledge of every aspect of all jobs which report to the ACL. Provides an excellent example of what a Crew Member and leader should be
  • Excellent Communication with all levels of staff & guests
  • Staff training & ongoing coaching using one-on-one meetings & performance reviews
  • Identifies “high potential crew members” and helps formulate & execute a training plan for development.
  • Everyday management of Health & Safety protocol & administration via JHAs, incident reports, vehicle inspections, Close Call reports etc.
  • Timely reporting of the H&S Administrative reports.
  • Re-executing JHAs for the strike portion of the events
  • Actively training crew on hazards, hazard management and safety administration.
  • Ensure PPE is being utilized when necessary.
  • Assistant of, and reports directly to, the Event Operations Manager. Represents the Operations Management team as a united front.
  • Accountable for the failures & successes of the Operations Team. Takes every incident as a learning opportunity & helps to define, shape, influence and/or write new or existing policies
  • Works closely with the EOM and WM for both the daily execution of events & warehouse management as well as the overall goal setting on a larger scale ( such as training programs, reorganization of the warehouse, etc)
  • Self starter. Helps define new goals for the operations team including policy changes, crew/leadership training & daily operations policies.
  • Ensures the Operations department efficiency by managing the operations labor & supplies budget
  • Ability & willingness to drive all standard OneWest vehicles
  • 100% follow through on all assigned & self-assigned tasks
  • Professional attitude and understands that the work day is done only when the work is complete
  • Extensive product knowledge and procedures.
  • Participates in Weekly Production Meeting

Expected Hours and Salary

  • 40+ week
  • Schedule varies (Day Shift / Evening Shift / Weekends)
  • Salary ($47,000 - $52,000 depending on experience)
