Executive Assistant

About the Opportunity

• Manage and maintain a complex executive calendar, including scheduling and prioritizing meetings, appointments, and engagements across multiple time zones
• Coordinate and book domestic and international travel arrangements, including flights, accommodations, ground transportation, and itineraries, with meticulous attention to detail
• Process and reconcile travel and expense reports using Concur
• Coordinate investor meetings and communications on behalf of the SVP, liaising with internal and external stakeholders in a professional and timely manner
• Attend select meetings alongside the SVP, capturing key takeaways, action items, and follow-ups as needed
• Act as a gatekeeper and trusted point of contact, managing communications and correspondence with a high degree of confidentiality
• Support document management and administrative workflows using SAP
• Anticipate the needs of the SVP and proactively manage priorities to ensure seamless day-to-day operations
• Adapt fluidly to shifting priorities and time-sensitive demands — this role operates well beyond a traditional 9-to-5 schedule

About You

• Proven experience as an Executive Assistant supporting C-suite or senior leadership, ideally within a publicly traded, corporate, or capital markets environment
• Bilingual proficiency in French and English (written and verbal) is mandatory
• Hands-on experience with Concur (travel & expense) and SAP
• Exceptional organizational and time management skills with a strong ability to multitask under pressure
• High emotional intelligence, professional maturity, and the ability to exercise discretion with sensitive information
• A proactive, solutions-oriented mindset with a sense of urgency and strong attention to detail
• Comfortable with occasional travel and flexibility outside of standard business hours
• Open to candidates from any industry background, provided they bring the right level of professionalism and executive support experience

Pay Range
$100,000 - $120,000 per year
