Who is a Benefits Administrator?

The Benefits Administrator is responsible for administering and maintaining Group Benefits Programs across the GoodLife Group of companies and brands. This role oversees all end-to-end benefits data in Workday and Manulife, including daily auditing, data analysis, monthly billing reconciliation, Passive Event processing, complex case correction, and resolving systemic discrepancies to ensure accurate coverage, financial alignment, and compliance. As an Associate-facing role, it delivers timely, accurate support for all benefit inquiries. The position applies policies, employment legislation, insurer contracts, CRA rules, and eligibility requirements to resolve escalations involving late applicants, EOI, payroll issues, reinstatements, dependent coverage, LOAs, LTD, and cross-system inconsistencies. The role also leads systems troubleshooting, process improvements, documentation, Associate guidance, and collaboration with Payroll, Workday, Compensation, and third-party administrators. It proactively identifies system gaps, recommends workflow enhancements, supports Workday testing, and contributes to broader benefits initiatives and enterprise projects

What will you be doing?

  • Within the Workday system, reviews eligibility and coverage accuracy while correcting system errors. Troubleshoots complex issues including rehire overlaps, retroactive updates, dependent changes, and benefit misalignments.
  • Provides specialist guidance regarding evidence of insurability, spousal waivers, reinstatement, leave of absences, policy interpretation, and other benefit-related inquiries.
  • Assesses late applicant eligibility, confirm insurer requirements, manage MRD processing, and resolve coverage mismatches across Workday and Manulife.
  • Supports life event changes by contacting Associates, adjusting PADs, assisting with LTD claims, validating documents, and updating dependent coverage to avoid eligibility issues.
  • Manages benefits for involuntary terminations, including ESA-required extensions, and initiates claims with the third-party administrator in the event of an associate’s death.
  • Monitors leaves, life events, and terminations, tracks return-to-work dates, and works with Payroll, Accounting, and Associate Relations to ensure accurate and compliant benefit management.
  • Drives continuous improvement by refining communications, clarifying instructions, identifying system gaps, improving Workday flows, and supporting Sandbox testing.
  • Runs and analyzes custom reports to spot data issues and system trends, and manually resolves any errors identified.
  • Performs detailed audits of eligibility, dependent tiers, LOAs, terminations, Workday-Manulife mismatches, and payroll errors, escalating systemic issues and driving corrective action.
  • Contributes to the maintenance and improvement of the benefits program by providing feedback, insights, ideas to the Manager
  • Develops and maintains benefits guides and resources and updates Associate communication materials.
  • Leads monthly Workday–Manulife–Payroll reconciliation, fixes discrepancies, adjusts coverage retroactively, reports variances, and ensures accurate premiums before close.
  • Provides timely, accurate and professional responses to Associate inquiries, documenting and recording interactions and decisions
  • Handles escalated or sensitive associate issues requiring benefits policy interpretation, insurer knowledge, CRA rules, and advanced problem-solving.
  • Investigates cases where Associates dispute coverage, missed deadlines, payroll deductions, or claim outcomes, documenting all details and coordinating with Manulife, Payroll, and third-party administrators to resolve issues.
  • Provides specialized guidance with clear instructions, practical resources, and explanations that improve plan understanding.
  • Uses regulatory and contractual guidelines to ensure compliant decisions that balance operational needs, system constraints, and associate experience.

Do you have what it takes?

  • Post-secondary degree or diploma in business, human resources or related field
  • CEBS / GBA an asset
  • 3+ years of experience directly related to benefits administration (client, insurer or consulting / third party administrators)
  • Experience using Workday or a similar Human Resources Information System (HRIS), including running reports, audits, and queries
  • Previous client facing experience
  • Knowledge of group benefits administration
  • Proficient in the use of Excel to support analysis of large data sets, data reconciliation, etc. (e.g., formulas, VLOOKUP, pivot tables)
  • Current knowledge of legislative requirements/changes including Pension and Benefits Act, CHLIA

Compensation

It is expected that the selected candidate will start at a base salary of $56,000. This position is eligible for bonuses in addition to the base salary. The annual range of expected compensation for the position is $56,000 - $72,000 determined by performance, time in the position and variable compensation earned.
