Position Overview:

Reporting to the Director, Culture, Inclusion and Student Support Engagement, the Senior Specialist, Operations, Data Insights and Academic Advising serve a dual role, combining advanced data analysis and reporting responsibilities with student advising.

The position is responsible for developing and delivering actionable data-informed insights through reporting, and dashboards that support student success, departmental planning, resource allocation, and strategic decision-making. The role analyzes student, academic advising, and student engagement, data to identify trends, risks, and opportunities, while driving process improvements that enhance operational effectiveness across the department in an embedded continuous improvement cycle. This work is informed by and will respond to external quality improvement and assurance of learning processes and standards. The incumbent provides academic advising and complex case management for students across multiple programs, interprets and applies academic policies, collaborates with Faculty Program Directors and stakeholders, to promote student success, equity, inclusion, and a high-quality student experience. This role serves as a key connector between data, policy, and student support, ensuring evidence-informed decision-making and consistent advising practices across the School.

Qualifications:

1. Data Analysis, Reporting and Insights

• Develop and maintain departmental processes/practices/templates for sharing business intelligence with relevant stakeholders, including development of regular reports (e.g.,student academic advising metrics; student developmental learning metrics; student leadership metrics across all programs), and dashboards relative to both student journies and student success, as well as internal operational data, relevant to different stakeholder groups across all programs and the Dean's office .
• Analyze and transform raw data for departmental metrics (e.g., survey results,quality assurance quality improvement data, qualitative and quantitative data etc.,) into digestible, report and presentation-ready formats that include both quantitative and qualitative data that reveal actionable insights and inform strategic decisions.
• Collaborate with internal stakeholders for report amendments and data presentation.
• Develop and maintain awareness of available internal data relevant to Culture, Inclusion and Student Support Engagement operations and advise on how it could be utilized to inform key decisions related to programming, operations.
• Develop early-warning indicators based on student life-course across Ivey programs in both the curricular and co-curricular journey, course performance, attendance, and historical advising notes to flag students at higher risk of academic or engagement challenges.
• Deliver data-informed recommendations to academic advisors that guide proactive outreach, resource referrals, and intervention planning.
• Work with IT to create process flows across our student information systems.
• Ensure student information systems process flows are reflective of and integrate external quality improvement and asurance of learning standards into CISSE team reporting and operations.
• Develop, validate, and maintain data management practices to ensure the accuracy, integrity, and timeliness of departmental reporting, while supporting institutional accountability, accreditation requirements, and compliance with internal reporting standards.
• Monitor and assess student success, engagement, advising, and departmental performance data to identify emerging trends, risks, and opportunities. Translate findings into meaningful insights and recommendations that support strategic planning, resource allocation, and operational decision-making by the Director.
• Analyze advising interactions, student support utilization, enrollment patterns, retention indicators, and other key metrics to identify service demands and inform staffing, programming, and resource planning initiatives across the department.
• Design, document, and continuously improve departmental workflows, business processes, reporting procedures, and operating standards to increase efficiency, consistency, knowledge transfer, and service delivery effectiveness.
• Create and maintain process documentation, reporting guides, business rules, and standard operating procedures that support the integration of advising, student support, and reporting functions within the department.

1. Academic Advising Portfolio

• Serve as an advisor for graduate programs (MBA, MSc, EMBA, AMBA, MMA) providing ongoing academic guidance and support through the student life cycle.
• Serves as an advisor to Dual Degree programs in the HBA program.
• Supports the collaboration with Main Campus partners that support the Dual Degree Program.
• Provide individualized advising, policy interpretation related to academic progression, and personal circumstances impacting academic success.
• Partner with Faculty Program Directors to align advising with program requirements and curriculum changes.
• Contribute to the creation and revision of policies and processes, ensuring alignment with Ivey's Policy Framework.
• Provide training and guidance on policy application to staff and faculty to promote consistent interpretation and implantation across programs.
• Interpret and apply advising policies; act as policy steward for academic consideration, and progression.
• Support undergrad program advising as needed.

Education & Experience

• Undergraduate degree required in education, computer engineering, student affairs, or related field preferred.
• 3 - 4 years of relevant experience in reporting and data analytics, academic advising or student affairs.
• Proven expertise in policy interpretation and application at both undergraduate and graduate levels.
• Proven experience integrating AI platforms and capacity into workflows.

Skills & Abilities

• Strong database management skills with a demonstrated ability to maintain, organize, validate, and retrieve data from multiple systems, ensuring data integrity, accuracy, confidentiality, and accessibility for reporting and operational purposes.
• Strong analytical skills with the ability to collect, interpret, analyze, and present data in meaningful formats, including reports, dashboards, and visualizations that support decision-making and strategic planning.
• Knowledge of quality assurance and continuous improvement principles, with experience evaluating processes, identifying opportunities for enhancement, implementing improvements, and monitoring outcomes to ensure effectiveness.
• Solid understanding of academic advising principles, student success practices, institutional policies, and academic regulations, with the ability to consistently interpret and apply them in complex situations.
• Experience using student information systems, databases, reporting tools, SharePoint, Microsoft Office applications, and other technologies to support advising, reporting, and operational effectiveness.
• Excellent judgment in balancing fairness, inclusion, and academic standards.
• Strong written and verbal communication skills with the ability to build relationships, collaborate effectively with diverse stakeholders, facilitate difficult conversations, and resolve concerns in a professional and respectful manner.
• Ability to analyze student data, advising outcomes, and engagement trends to identify emerging issues, evaluate effectiveness, and recommend evidence-informed improvements to advising services and student support initiatives.
