Project Coordinator (Construction)

Location : Head Office + Project Sites

Type : Full-Time - Future Opportunities

Essential Functions

  • Establish and maintain Unit Price database for takeoff and material ordering purposes
  • Provide leadership to Business Development opportunities
  • Maintain files and correspondence on active project
  • Develop and maintain positive relationships with clients, consultants and sub-trades
  • Maintain office department policies, procedures and standards
  • Assess and update “quantity” Contract Document templates
  • Responsible for accuracy of quantity takeoff submissions
  • Review specifications and drawings to determine scope of work and required contents of materials
  • Provide Value engineering on materials as needed. Review material selections and find best alternative based on cost, quality, or availability of materials
  • Be the “strategy maker” on quantity takeoffs and provide strategy for efficiency
  • Identify risk areas and bring them to the attention of the co-owners
  • Computes cost estimates of raw materials
  • Perform additional takeoff/drawing related assignments per the co-owners direction
  • Perform quantity take-off from construction drawings
  • Maintain files of working documents as back-up for estimate figures, including current information on prices from suppliers through direct contact, sales brochures, price lists, etc
  • Participate in tender closing i.e., review of documents, compile tender information and compute cost estimates on sub contracted work if required
  • Ordering of material required per site (Tile, Plumbing fixtures, brick, etc.)
  • Prepare Layouts & Elevations for preparation of Site Super and/or trade vendors
  • Ensure project customer satisfaction
  • Carry out all project administration in accordance with company policies and procedures. Utilizing PG software (BuilderTrend or others) to the best of its abilities
  • Be an ambassador of the company internally and externally
  • Work with accounting department to ensure project accounting is accurate/timely with respect to material orders
  • Manage deliveries and incoming packages ensuring they are in the appropriate area or team member
  • Collect payment from clients within contract terms
  • Meeting manager; act as chair on project meetings with clients
  • Involved in all facets of commercial project close-out, including archiving of documents, maintenance and warranty manuals, deficiencies and warranty work

Qualifications

  • 5+ years of project coordination experience in construction (residential, commercial, or institutional)
  • A proven history of delivering projects on time and on budget
  • In-depth knowledge of construction methods, codes, safety practices, and materials
  • Exceptional organizational, problem‑solving, and communication skills
  • Excellent computer skills using CAD and Adobe Acrobat
  • Confidence with project management software and Microsoft Office tools
