We are seeking a versatile Bookkeeper / Service Coordinator to manage financial administration while organizing daily dispatch logistics for our technical installation crews. This position balances core accounting duties (AP, AR, Payroll) with customer scheduling for both quick retail service calls and high-end residential integration projects. Responsibilities
-Manage full-cycle Accounts Payable (AP), reviewing low-volume, high-detail supplier invoices for custom residential projects.
-Execute Accounts Receivable (AR) functions, including generating job invoices, processing client payments, and conducting respectful payment follow-ups.

-Process bi-weekly payroll and accurately record daily work orders submitted by field technicians. Lead the ongoing maintenance and transition of financial records into QuickBooks Online.
Technician Scheduling & Logistics
-Schedule and dispatch 6 to 7 installation technicians across 3 to 4 service trucks daily.
-Balance schedules for approximately 20 routine retail service calls per week alongside larger, long-term custom home projects.
-Partner closely with the Project Manager to stage, prep, and set aside required inventory and equipment prior to technician dispatches. -Client Relations & Office Administration
-Deliver exceptional, professional communication to high-profile clients and trade partners via phone and email.
-Work closely with senior office staff to learn internal systems, supporting long-term department succession plans.

Qualifications
-Minimum of 3 years of hands-on bookkeeping experience handling AP, AR, and payroll functions.
-Proven experience with QuickBooks (Online or Desktop) and comfort learning specialized POS/ERP scheduling systems (such as Spire).
-Prior experience in service dispatching, scheduling, or office coordination within trades, HVAC, construction, or field services is a strong asset.
-Outstanding interpersonal skills tailored for communicating with high-net-worth clients and technical team members.
