General Description

Reporting to the Manager, Housing, the Housing Coordinator is a key professional within Sipekne’katik’s Housing Department responsible for the end-to-end coordination of housing programs, financial reporting, housing data management, and community communications. This position supports the planning, delivery, monitoring, and reporting of federal and community-funded housing programs, ensuring that housing services are administered with accuracy, accountability, and cultural sensitivity.

The Housing Coordinator works in close collaboration with the Manager, Housing, Finance Department, and external funding partners to maintain the integrity of housing program data, produce timely financial and performance reports, and ensure that community members are well-informed about housing programs and opportunities. This position plays a central role in supporting strategic housing initiatives strengthening the administrative and reporting capacity of the Housing Department.

Responsibilities

Program Coordination and Administration - 55%

• Coordinate the day-to-day administration of Sipekne’katik housing programs, including rental housing, homeownership support, renovation and repair programs ensuring all programs are delivered consistently and in accordance with applicable policies, funding agreements, and housing by-laws.


• Maintain and update program files, intake records, and eligibility documentation for all active housing programs, ensuring files are complete, current, and audit-ready at all times.


• Coordinate housing application intake processes, including receiving and reviewing applications, confirming eligibility, and preparing complete application packages for the Manager, Housing’s review and decision.


• Support work order/asset management application and enter purchase orders, standing offers, invoices in the accounting system.


• Support the development and review of housing policies, procedures, and program guidelines by providing relevant program data and administrative input.


• Coordinate training events and Housing meetings (e.g., lunch & learns, OH&S sessions).

Financial and Reporting Oversight - 20%

• Prepare and submit financial reports for approval to regulatory and government agencies.


• Prepare and submit housing funding requests and Indigenous Services Canada (ISC) proposals.


• Submit progress reports for housing initiatives to the Housing Manager and Executive Financial Officer.


• Receive CMHC building code compliance reports and coordinate follow-up actions.


• Submit CMHC compliance reports to funding providers and Finance.


• Maintain an organized system for financial documentation, including invoices, payment approvals, purchase orders, and funding agreement correspondence, in both digital and physical filing systems.

Data and Systems Management - 10%

• Provide backup support for civic address database/spreadsheet distribution.


• Review and cross-check Nova Scotia Civic Address Finder (NSCAF) system to obtain new civic addresses for band-owned/operated units.

Community Engagement and Communication - 10%

• Develop, prepare, and distribute clear and accessible community communications regarding housing programs, application deadlines, eligibility criteria, policy changes, and available services, including written notices, newsletters, and digital communications.


• Respond to community member inquiries about housing programs, application status, eligibility, and available resources, providing accurate and helpful information in a culturally respectful and accessible manner.


• Coordinate the planning and delivery of community housing information sessions, including logistical arrangements, material preparation, attendance tracking, and follow-up.


• Promote youth engagement and skill development in housing-related initiatives.

Other Duties - 5%

• Perform other duties as reasonably required or assigned by the Housing Manager.

Qualifications and Experience/Skills

• Completion of Grade 12 or equivalent; training in project management, business, or related field is an asset.

• 1–2 years of experience in office or departmental coordination.

• 1–2 years of experience managing office finances.


• Experience in the housing or construction industry is considered an asset.


• Experience working in a First Nation community is considered an asset.


• Strong verbal and written communication skills.


• Professional and calm demeaner with ability to respect the confidentiality of others.


• Ability to lead by example in maintaining a positive attitude and friendly demeanor.


• Knowledgeable and familiar with the Community of Sipekne’katik and/or Mi’kmaw communities/organizations.


• Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment.


• Must have access to reliable transportation.

• A Criminal Record and Child Abuse Registry check is required.

Working Conditions

• Monday to Friday 8:00am to 4:00pm (35 hours per week) with one-hour unpaid lunch and two fifteen-minute paid breaks.
