Position Summary

The Facilities Manager is responsible for the day-to-day operation, maintenance, safety, and appearance of Grand View Manor's buildings, grounds, equipment, and facility systems. The Facilities Manager provides direct supervision and support to Maintenance, Environmental Services, and Laundry team members while ensuring a safe, clean, and comfortable environment for residents, visitors, volunteers, and staff. The Facilities Manager supports regulatory compliance, workplace safety, emergency preparedness, inventory management, and operational efficiency while working collaboratively with leaders and team members throughout the organization.

Key Accountabilities

Facilities Operations and Maintenance

• Coordinate daily maintenance activities throughout the facility.
• Monitor building systems and report concerns requiring repair, replacement, or capital investment.
• Ensure preventative maintenance schedules are completed and documented.
• Coordinate routine contractor visits and service appointments as directed.
• Conduct regular facility inspections and follow up on identified concerns.
• Assist with facility projects, renovations, and equipment installations.

Leadership and Team Supervision

• Provide day-to-day supervision and support to Maintenance, Environmental Services, and Laundry team members.
• Assist with scheduling, work assignments, training, and performance feedback.
• Promote teamwork, accountability, and respectful workplace practices.
• Support employee orientation and ongoing departmental training.
• Monitor completion of assigned work and operational priorities.

Recruitment and Staffing Support

• Participate in recruitment activities including interviews, candidate selection, onboarding, and orientation.
• Assist with workforce planning and staffing needs within assigned departments.
• Support employee development and training initiatives.

Occupational Health and Safety

• Serve as Chair or Management Representative of the Joint Occupational Health and Safety Committee (JOHSC).
• Coordinate committee meetings, inspections, and follow-up activities.
• Monitor workplace hazards and ensure corrective actions are completed.
• Participate in incident investigations and recommend preventative measures.
• Promote safe work practices and compliance with occupational health and safety requirements.

Emergency Preparedness and Education

• Maintain and update the Emergency Response Manual under the direction of the Director of Facilities.
• Coordinate emergency preparedness education and training activities.
• Assist with emergency drills, exercises, and documentation.
• Ensure emergency supplies and equipment are maintained and readily available.

Inventory and Purchasing

• Monitor inventory levels for maintenance, environmental services, laundry, and facility supplies.
• Order routine supplies and equipment in accordance with approved budgets and purchasing practices.
• Maintain inventory records and support cost-effective supply management.
• Receive and organize departmental supplies and equipment.

Documentation and Compliance

• Maintain records related to maintenance activities, inspections, safety programs, and equipment servicing.
• Assist with regulatory inspections, audits, and compliance activities.
• Support policy and procedure implementation within assigned departments.
• Prepare reports and documentation as requested by the Director of Facilities.

Teamwork and Communication

• Collaborate with residents, families, staff, contractors, and community partners.
• Communicate operational concerns, safety issues, and facility needs to the Director of Facilities.
• Participate in leadership meetings and organizational initiatives as assigned.
• Perform other related duties as assigned.

Qualifications

Education

Required:

• Post-secondary education, trade certification, or equivalent experience in facilities management, maintenance operations, building systems, construction, or a related field.

Experience

Required:

• Experience in facilities, maintenance, environmental services, construction, or building operations.

Preferred:

• Previous supervisory experience.
• Experience in healthcare, long-term care, hospitality, or institutional environments.

• Knowledge of building systems, maintenance practices, and facility operations.
• Knowledge of occupational health and safety principles and workplace safety practices.

Working Conditions

Physical Demands

• Frequent walking throughout the facility and grounds.
• Frequent lifting, carrying, pushing, and pulling of equipment and supplies.
• Ability to access maintenance spaces and mechanical areas.
• Occasional participation in physical maintenance activities as operational needs require.

• Ability to maintain attention to detail while coordinating daily operations.

Environmental Conditions

• Work performed in office, maintenance, resident care, laundry, environmental services, and outdoor environments.
• Exposure to varying temperatures, noise, machinery, chemicals, and maintenance equipment.
• Occasional after-hours response to facility emergencies.
