Qualifications

MINIMUM FORMAL EDUCATION/TRAINING

  • Completion of a formal training program in a related discipline from a recognized institution plus two years of directly related experience is required

OR

  • Three years of directly related experience is required.

EXPERIENCE

  • One year experience in office setting required.
  • An acceptable equivalent combination of education and experience may be considered.

SKILLS AND ABILITIES

  • Knowledge about a wide range of office and administrative practices with the ability to organize and prioritize standard secretarial, reception, bookkeeping and clerical functions is required.
  • Computer fluency, including M365, is required.
  • Excellent keyboarding skills and ability to type at 50 wpm is required.
  • Ability to interact and assist faculty, staff, students, and the public tactfully and professionally is required.
  • Excellent client service and interpersonal and English communication skills, both written and verbal are required.
  • Ability to plan, organize, prioritize, and establish work priorities and deadlines is required.
  • Ability to make independent position judgments and utilize problem-solving skills is required.
  • Ability to ensure attention to detail and accuracy of work produced is required.
  • Proficiency at using a conference phone, switchboard system, and photocopier is preferred.
  • Experience in ordering, monitoring and tracking a supply inventory is preferred.
  • Knowledge of UM regulations, programs and policies is an asset.
  • Familiarity with UM finance programs, including Concur and Epic is an asset.
  • Knowledge or experience with UM-specific software is an asset.
  • Ability to handle payments and process debit/credit card transactions and reconcile accounts is an asset.
  • Satisfactory work record, including satisfactory attendance and punctuality is required.

OTHER JOB RELATED QUALIFICATIONS

  • Knowledge of St John’s College and the University of Manitoba an asset.

Key responsibilities

  • Greets visitors and callers, answers telephone and front desk inquiries, assists students, faculty and visitors.
  • Provides brochures and information about College, Residence, and University (requiring some knowledge of University policy and procedures).
  • Relays information on professors’ academic timetables.
  • Refers visitors and callers to appropriate personnel, faculties, services, etc.
  • Takes messages for employees and faculty.
  • Provides courier companies with pick-up and delivery information, follows up on problems, gives billing information to Assistant Bursar.
  • Monitors lost and found items.
  • Orders, schedules and distributes guest parking passes.
  • Assists the Assistant Bursar with journal entry prep (monthly), sorting and reviewing catering orders for accuracy prior to billing (monthly), and sorts payable cheques to be mailed (weekly).
  • Receives payments for things such as Residence fees, laundry cards, and other miscellaneous payments such as promotional items. This can be either a daily or weekly occurrence.
  • Submits a month end reconciliation for those payments to the Assistant Bursar.
  • Assists the Registrar by reviewing Scholarship applications and using Aurora to determine eligibility. This is a bi-annual occurrence in line with our separate scholarship deadlines.
  • Reviews the nominal role to determine College membership status as needed.
  • Maintains the College promotional merchandise inventory.
  • Assists the Warden with expense claim forms using Concur.
  • Telephone Group Leader for staff and faculty. Requests new phone lines/repairs/changes.
  • Sorts and distributes incoming and outgoing mail; allocates mailboxes to faculty and staff.
  • Photocopies material for staff members, faculty and students.
  • Records RSVPs for events.
  • Maintains photo boards, building directory, and display case.
  • Monitors level of office supplies and places orders in Epic for approval by the Warden or Bursar.
  • Maintains files in receptionist’s area.
  • Types correspondence, agendas, forms, etc.
  • Prepares various materials: posters, forms, records, files, spreadsheets, charts and graphs, calendars, business cards, etc.
  • Orders stamps, and controls petty cash box for stamps, photocopies, and faxes.
  • Arranges repairs for General Office equipment.
  • Unlocks/locks faculty’s supply cupboard and lounge in absence of Faculty Secretary.
  • Acts as Assistant key coordinator to the Bursar.
  • Provides information on conference and guest services.
  • Provides information re food services when the Food Services Manager is away or busy.
  • Assists new Residents and answers questions, requiring knowledge of Residence contract.
  • Sometimes accepts Residence applications/assigns rooms, etc. in absence of the Dean of Residence.
  • Other duties as assigned.
