Enrollment Services Assistant (Vancouver)

Job Responsibility: General Description: The Enrollment Services Administrative Assistant provides administrative and clerical support to the Office of Enrollment Services. Responsibilities include, but are not limited to, updating and filing of records and documents; assisting with the processing of student payments, deposits, and refunds; and assisting students with inquiries at the Enrollment Services Office. Supervision Received: The incumbents in this position are supervised by the Director of Enrollment Services. Incumbents are required to follow and adhere to University and Office policy as established by the University. Principal Duties: 1. Responds to in person and telephone inquiries and performs general office administrative duties. 2. Files student and department records (electronic and paper), including generation of new files. 3. Processes ID cards for students, faculty, and staff. 4. Enters and updates student and other information in Colleague and other systems, including address, demographic, immigration, medical, and placement testing data. 5. Assists and guides students when they seek assistance with Web Advisor/Student Planning regarding online registration and other information on the web. 6. Updates student and academic advisor information in Colleague. 7. Assists with financial operations of the Enrollment Services office including: a. Billing and processing of student payments. b. Back up for payments and deposits during regular staff holidays. c. Processing of refunds, including admission deposit refunds, and financial aid adjustments. 8. Oversees document request process. Collects and processes requests for documents - (transcripts, confirmation of enrollment, graduation verification letters). 9. Participates on Commencement Planning Committee and organizes Pre- Commencement Dinner. 10. Prepares reports for related areas. 11. Proofreads and checks documents. 12. Performs other work-related duties as assigned. Direction to Others: May participate in the training of new Enrollment Services student workers and interns. Standards: 1. Knowledge of Enrollment Services policies and procedures, and capable of communicating the same, particularly related to registration and database maintenance. 2. Capable of performing complex computations. 3. Ability to accurately handle and process large sums of money in accordance with the University's accounting procedures. 4. Capable of drafting forms, memos, e-mails, and letters. Required Qualifications: 1. High School or GED required. 2. Two years of experience in clerical office work demonstrating good filing skills, and familiarity with use of standard office equipment. 3. Proficiency utilizing computer systems for data management, word processing, and other applications. Knowledge of Microsoft Word and Excel required. Familiarity with Ellucian Colleague or similar Student Information System is an asset. 4. Experience showing a high level of attention to detail and accuracy. 5. Basic accounting/bookkeeping skills, and experience with collecting cash payments. 6. Strong organizational skills. 7. Strong interpersonal and written communication skills. 8. Strong customer service skills. 9. Must be available to work overtime and non-standard hours as required, i.e., evenings, weekends, during peak periods throughout the year. 10. Canadian residency or work permit required. 11. Employment is contingent upon a satisfactory background check. Candidates for hire will be required to sign a waiver authorizing the background check.
