Operations & Admin Coordinator | Part-time | Greater Victoria, BC | ~10 hrs/week | Hybrid

Energy Revolution Services is a small engineering consulting firm based in Greater Victoria. We work on technically complex projects and hold ourselves to a high standard of quality and client service. We're growing, and we're looking for someone to help us run better, so we can focus on the work we do best.

The opportunity This is a part-time role for someone who thrives in a small business environment. Where no two weeks look exactly alike, and where your initiative actually shapes how things run. You'll take ownership of a broad range of operational and administrative tasks, with room to build and improve the systems behind them.

What you'll do

• Invoicing prep, review, and follow-up.
• Bookkeeping support. Receipt collation, transaction reconciliation, liaison with our bookkeeping.
• Project controls and administration. Contract startup and closeout, paperwork, scheduling, budget tracking.
• Proposal and report compilation.
• Insurance and HR administration.
• Client and vendor follow-up communications.
• Coordinating external contractors as needed.
• Process design: Identify bottlenecks and design/document standard operating procedures (SOPs) to streamline office efficiency. Identifying gaps and help build processes where they don't yet exist.

What we're looking for

• Proven experience in an operations and admin role, ideally in a small business or professional services environment.
• Strong initiative. You notice what needs doing and do it without being asked.
• Comfortable with numbers and financial processes (invoicing, budgets, reconciliation).
• Strong written and verbal communication skills.
• Highly organised and reliable.
• Proficiency with standard business software (MS Office, Google Suite). QuickBooks or similar an asset.
• Comfortable with ambiguity and building structure where little exists.

The arrangement

Approximately 10 hours per week, with flexibility built in. You'll have a regular half-day in-person each week (Sidney), with remaining hours flexible - can be worked remotely/at home if desired. We're looking for someone responsive and self-managing, who keeps things moving without needing to be chased.

This role has room to grow as the business grows. We'll review scope and hours at the three-month mark.

Compensation Structure

• The starting base rate is $27.00/hr for candidates who meet the core requirements.
• Wages scaling up to $33.00/hr are reserved for senior candidates who bring a proven track record of designing business processes from scratch, handling complex proposals independently, or possessing prior project controls experience.
