Position: Registrar
Program: Language Instruction for Newcomers to Canada (LINC)
Schedule: In-office position at 12 hours per week (Mon-Thu, 6-9pm), starting ASAP until March 31, 2027
Location: New Westminster

Summary
Advise current and prospective students on LINC classes and other community services, including information on class availability at other service provider organizations; handle student registration and program orientation, concerns/complaints; update databases and provide administrative support for PBLA.
How you will make a difference
- Advise current and prospective students on courses and community services ensuring student needs are met. Oversee student enquiries in person, by telephone or by internet and ensure suitable applicants receive all relevant information to facilitate their decision to register/apply for the LINC program. Complete registration processes to enrol students into identified course(s).
- Assist students with onsite Preschool waitlist applications and LINC Moodle website account set‑up if applicable to site.
- Monitor seat availability, maintain waitlists and schedule classes with weekly intakes.
- Maintain up‑to‑date class lists and student records/teacher classroom files, student portfolios, and liaise with the LINC Instructor, LINC Manager and Language Instructors.
- Maintain accurate client records in the designated database(s). Track student referrals and feedback, graduations, LOAs and attendance.
- Generate monthly attendance sheets, graduation certificates, monthly statistics and other documents as required by the LINC program.
- Collaborate with the LINC Instructor and/or LINC Manager to resolve any student issues/problems consistent with established policies and procedures. Refer issues to appropriate personnel when required.
- Ensure students receive New Student Orientation videos, Student Exit Surveys and Student Satisfaction Surveys.
- Distribute bus tickets for field trips and/or monthly transportation allowance as required.
- Assist in preparing logistics for site‑specific meetings, in‑house professional development days for instructors and other events – arranging venue and minutes, etc.
- Perform clerical work such as maintaining program files and student records, copying, faxing, handling mail, collating documents, handling phone calls to receive and/or relay information according to established guidelines and deadlines.
- Ensure photocopier is functioning; process new program resources and teaching materials, maintain PBLA binder inventory, and order classroom supplies; keep and update inventory of resources and equipment when necessary.
- Liaise with Assessment Centres, other LINC providers and external agencies as needed.
- Provide support and guidance to volunteers.
- Perform other related duties as assigned.
What you bring
- Completion of a certificate or diploma in office administration, business or related discipline and two (2) years recent related experience; OR an equivalent combination of education, training and experience.
- Fluency in a second language is an asset.
- Ability to communicate effectively in both written and oral English; strong business writing, speaking and presentation skills.
- Demonstrated cultural competency and commitment to working effectively with diverse populations.
- Service‑oriented and an active team player.
- Demonstrated proficiency in all aspects of Microsoft Office software and experience entering information into databases.
- Demonstrated ability to manage time and resources effectively.
- Possession of and ability to maintain a clear provincial Criminal Record Check.
