The Human Resources Assistant will carry out a variety of administrative functions supporting processes/ practices, recruitment, benefits, health & safety, onboarding and support Senior Management.

KEY DUTIES AND RESPONSIBILITIES

  • Responsible for HRMS data quality and integrity, accuracy and completeness to ensure employee profiles are accurate and up-to-date.
  • EC uploads, initiating EC workflow for approval
  • Support with sourcing, recruiting and onboarding efforts for branches
  • Support in the management of disability claims including worker's compensation claims
  • Coordinate return to work for individuals on disability, liaising between case manager, employee and manager
  • Maintain updated organizational charts for designated branches
  • Monitor and respond to HR related tickets (Zendesk)
  • Register employees in training courses
  • Conduct orientation of new hires for branches as well as organizing welcome gifts
  • Conduct exit interviews upon voluntary separation
  • Provide general administrative support to the Human Resources Department by drafting correspondence, creating presentations, compiling meeting minutes, distributing employee communications, maintaining records and files, and performing general filing and other related office duties
  • Assist Senior Manager, HR with special projects and reports and the execution of HR initiatives
  • Other duties as required
Executive Support
  • Manage calendars, appointments, and meetings for executives.
  • Coordinate travel arrangements, itineraries, and accommodations.
  • Prepare expense reports
  • Prepare and edit correspondence, reports, and presentations.
  • Handle sensitive and confidential information with discretion.
  • Act as a liaison between executives and internal/external stakeholders.
  • Facilitate the preparation and execution of high-level meetings, including agenda creation and minute-taking.
Quality, Health & Safety:
  • Supports organizational commitment to ISO 9001, ISO 45001 certification
  • Perform assigned tasks to support DSV meets its objectives and targets regarding quality, health, safety and environment and follow all requirements as set out in the DSV Quality Health Safety Environment policy.
  • Staff are required to ensure that their day-to-day activities embrace sustainability, Health and safety therefore reducing the impact upon the environment, supporting the communities we work in and reducing incidents in the workplace.

QUALIFICATIONS

Education and Experience

  • Post-secondary education in HR
  • Minimum of 2 years' experience in all areas of HR processes and concepts
Skills and Competencies General Operations Skills/Competencies:
  • Good command, both verbal and written, English skills.
  • Ability to create collaborative engagements and active listening
  • Service oriented and able to resolve customer grievances
  • Strong interpersonal skills, building professional relationships internally and externally
  • Strong problem-solving skills and analytical skills
  • Ability to multi-task, plan, prioritize and manage time effectively in order to meet goals and achieve results
  • Both a team builder and a team-player
  • Excellent organizational and time management skills
  • Act as a role model for DSV values and adhere to the Code of Conduct

Language and Computer Skills

  • English is the principal language for this position, additional languages may be required in other locations.
  • Ability to communicate effectively in a diverse multicultural environment.
  • Highly proficient in MS Office
  • Know-how of HRIS systems (SAP Success Factors and ADP WFN, an asset)
  • Experience using helpdesk ticket systems (Zendesk, an asset)
Physical Demands
  • Prolonged periods sitting and standing at a desk and working on a computer
  • Occasional travel may be required
  • Regular working hours apply for this position, at times, working beyond these hours may be required by business needs.
