Employment Status Full Time Employment Type Regular Job Summary Reporting through to the Director of Procurement & Ancillary Services, with a focus on service excellence, the College Store Supervisor provides day-to-day supervision and oversight to College Store Operations ensuring that a diverse range of goods, course supplies/materials and sundry items are available for purchase. Specific Duties Supervisory Duties:- Provides supervision, direction, guidance and coaching to the College Store and Print Shop staff on a day to day basis..
- Authorizes and submits timesheets to Payroll.
- Maintains records of vacation and short and long-term leave of staff.
- Responsible for accurate receiving of store stock, including pursuing inventory discrepancies and/or shipping claims.
- Responsible for timely coding of invoices to insure prompt payment and keeping our vendor accounts in good standing.
- Assists Director with the interview and hiring process of new staff.
- Assists Director in conducting staff meetings and preparing employee performance appraisals.
- Maintains store operating systems including cash registers, purchasing system, web-system, and Moneris banking systems. Works directly with the systems host vendor and IT department to correct all issues and problems.
- Contributes to planning related to policy and business processes in consultation with Director.
- Implements new procedures, policies and system enhancements in accordance with Bookstore strategic plan, as directed by Director.
- Develops, promotes and supports effective working relationships with college faculty, staff and departments.
- Trains staff on College Store purchasing system as required.
- Coordinates all aspects of year end physical inventory counts.
- Uses judgement and creative problem solving to resolve issues or complaints as they arise or when referred by staff or customers, keeping the Director informed as required.
- Brings issues forward to Director relating to procedure and policy development that require broader consultation and consideration.
- Gathers and communicates customer feedback and proposes enhancements to customer service print or web information.
- Maintains knowledge of current and emerging retail trends.
- Responsible for the day-to-day procurement and inventory of a diverse range of goods, course supplies and materials, and sundry items required by student, staff and faculty.
- Communicates with faculty, researches and communicates with vendors; sources new suppliers when learning materials are not available in Canada.
- Enters data into Bookstore purchasing system, calculates and produces purchase orders; communicates decisions to store staff.
- Balances the level of text and trade inventory on a regular basis to ensure correct inventory levels are maintained relative to demand. Incumbent reviews class start dates, enrolments and course listing reports.
- Organizes and expedites book returns to publishers to ensure inventory is current.
- Meets with suppliers to update product information.
- Designs and implements textbook layout every term.
- Coordinates used book buy backs; maintains current buy back and want' lists.
- Liaises with external sponsoring agencies in order to assist students with funding issues and enters client information into database in a timely and accurate manner.
- Provides service to customers (walk-in, email and telephone).
- Processes mail and distributes to staff on a daily basis.
- Operates POS register and perform cash audits as required.
- Performs month end procedures, runs reports and submits to Financial Services.
- Recommends and participates in changes to systems and the introduction of new Bookstore services.
- You will be part of a team actively engaged in contributing to and accomplishing the vision, mission, and goals of the College and in supporting the aspirations and needs of our learners and communities.
- You will promote a positive work atmosphere and communicating in a professional manner that demonstrates mutual respect with students and colleagues.
- Other related duties as assigned by the Director Procurement & Ancillary Services.
- Recognized two (2 ) year diploma in Business with courses in purchasing and management
- 2 years or more recent supervisory experience in a College Bookstore, or equivalent retail environment, OR an equivalent combination of training and experience preferably in a public sector environment
- Proficient in software systems such as : WinPrism, WPAdmin, MS Expression Web, Photoshop, Adobe Bridge, Colleague, WinPos,(Cash Register), MS Office suite, Moneris Merchant Solutions, Canva, Campus Ebook Store, and PDT Inventory maintenance module
- Superior organizational skills
- Proven ability to work in high pressure, high volume situations
- Proven sound judgement and problem solving abilities
- Excellent interpersonal/communication skills, polite, friendly and outgoing
- Strong initiative as demonstrated through appropriate recent references
- Ability to work independently
- Attention to detail, neat and thorough
- Ability to complete the physical demands of the position
