Job Title: Purchasing Assistant
Job Summary
We are seeking a detail-oriented and proactive Purchasing Assistant to support our Packaging Procurement Department. In this role, you will assist with supplier sourcing, order tracking, product record maintenance, and vendor/customer communications. You will play a key role in ensuring the cost-effective and timely procurement of goods, helping to maintain an efficient and reliable supply chain.
Key Responsibilities
Procurement & Sourcing
- Research and identify potential overseas suppliers.
- Obtain and compare quotations from vendors.
- Negotiate pricing, terms, and conditions with suppliers.
- Prepare cost analyses to support purchasing decisions.
Vendor Management
- Build and maintain strong relationships with suppliers and vendors.
- Monitor supplier performance and ensure compliance with company standards and regulatory requirements.
- Serve as a point of contact for vendor-related inquiries and issues.
Administrative Support
- Manage product samples and maintain product specification records.
- Organize purchasing files and documentation.
- Ensure procurement records are accurate and up to date.
Order Processing
- Process order confirmations and maintain purchasing records.
- Review and verify Purchase Orders (POs), track production and shipping timelines, and liaise with suppliers to ensure timely delivery.
- Resolve delivery delays, damaged shipments, shortages, non-conformities, and other supply chain issues.
Qualifications & Requirements
Education
- Bachelor's degree in Business Administration, Supply Chain Management, Procurement, or a related field preferred.
Experience
- Minimum of 2 years of experience in purchasing, procurement, and/or supply chain operations.
- Experience working with overseas suppliers is an advantage.
Technical Skills
- Experience using Enterprise Resource Planning (ERP) systems.
- Strong proficiency in Microsoft Office Suite , particularly Microsoft Excel .
- Ability to prepare cost analyses and maintain procurement documentation.

Language Requirements
- Fluent in English (written and spoken).
- Chinese language skills will be considered a strong asset.
