ORGANIZATION BACKGROUND:

For more than 50 years, Special Olympics Canada (SOC), a program within the worldwide movement, has been dedicated to enriching the lives of Canadians with an intellectual disability through active participation in sport. SOC is a national, grassroots, charitable organization that provides best of class sport training, nutrition education, health screenings and competition opportunities for athletes of all ages and abilities. Year-round programming is available in hundreds of communities across Canada, supported by thousands of volunteers.

POSITION SUMMARY:

Based in Toronto and reporting to the Director, Digital Products & Technology, as the Intermediate IT Project Manager, you are responsible for planning, coordinating, executing, monitoring, and delivering technology projects that support Special Olympics Canada’s strategic priorities and digital transformation objectives.

The primary areas of responsibility include project planning and delivery, stakeholder engagement, vendor coordination, risk and issue management, project governance, reporting, and change management support. Across various projects, the Intermediate IT Project Manager will contribute to improved technology adoption, better project visibility, stronger governance, and successful delivery of national digital initiatives.

You will support project budget tracking, project status reporting, and the escalation of project risks, issues, and decisions as required.

RESPONSIBILITIES:

Project Planning and Delivery:

• Lead project planning activities from initiation through closure.
• Develop project charters, project plans, schedules, work plans, budgets, resource plans, and project status reports.
• Define project scope, objectives, deliverables, milestones, dependencies, and success measures.
• Coordinate project execution across multiple internal departments, provincial and territorial Chapters, vendors, and external partners.
• Monitor project progress against approved timelines, budgets, risks, issues, and milestones.
• Manage multiple concurrent IT and digital projects while balancing priorities and deadlines.
• Ensure project activities follow established governance, documentation, cybersecurity, privacy, and organizational standards.

Stakeholder Engagement and Communications:

• Facilitate project meetings, workshops, working groups, and steering committee discussions.
• Build and maintain effective working relationships with SOC staff, Chapter representatives, executives, vendors, and consultants.
• Prepare project communications, executive updates, meeting agendas, meeting minutes, decision logs, and action item trackers.
• Communicate project risks, issues, dependencies, recommendations, and decisions in a clear and timely manner.
• Support alignment between business requirements, technology solutions, and organizational priorities.

Risk, Issue and Vendor Management:

• Identify, assess, document, and monitor project risks, issues, assumptions, and dependencies.
• Develop mitigation plans, escalation paths, and recommended corrective actions.
• Coordinate activities with technology vendors, consultants, and implementation partners.
• Assist with Statements of Work, procurement activities, vendor deliverables, timelines, and contract-related coordination.
• Monitor vendor performance against agreed deliverables and project expectations.

Change Management, User Adoption and Transition to Operations:

• Support communications, training coordination, rollout planning, and user adoption activities for new technologies and business processes.
• Work with business stakeholders to support readiness, adoption, and successful transition to operational teams.
• Help ensure project outcomes are practical, sustainable, and aligned with SOC’s operational needs.
• Support continuous improvement of project management practices, tools, templates, and reporting processes.
• Other duties as assigned.

QUALIFICATIONS:

The successful candidate will possess the following experience, knowledge and abilities:

• Post-secondary education in Information Technology, Business Administration, Project Management, or a related discipline, or an equivalent combination of education and experience.
• A minimum of 3-5 years of project management experience, preferably managing technology, SaaS, cloud, cybersecurity, CRM, collaboration, business application, or digital transformation projects.
• Demonstrated experience developing project plans, schedules, risk logs, issue logs, decision logs, status reports, and executive-level project updates.
• Proven ability to coordinate multiple concurrent projects, manage competing priorities, and deliver results within approved timelines and budgets.
• Experience working with vendors, consultants, implementation partners, and cross-functional business stakeholders.
• Strong understanding of project management methodologies, including waterfall, agile, hybrid, and change management approaches.
• Familiarity with Microsoft 365, SharePoint Online, Microsoft Teams, Power Platform, Microsoft Copilot, Salesforce CRM, Asana, cybersecurity initiatives, and data governance programs is considered an asset.
• Strong verbal and written communication skills, including meeting facilitation, presentation, and executive reporting skills.
• Dependable judgement and decision-making skills with the ability to identify risks, escalate issues, and recommend practical solutions.
• Comprehensive computer skills, including proficiency with Microsoft 365 and project management tools.
• A self-directed, organized, collaborative, and enthusiastic team player.
• Experience working in the non-profit, sport, health, education, or federated organizational sectors is considered an asset.
• Bilingualism (English/French) is considered a definite asset.

Preferred Certifications:

• Project Management Professional (PMP).
• Certified Associate in Project Management (CAPM).
• PMI Agile Certified Practitioner (PMI-ACP).
• Certified ScrumMaster (CSM).
• Prosci Change Management Certification.

RESPONSIBILITY FOR SUPERVISION:

• This position does not include direct responsibility for supervision of employees.
• From time to time, this position may coordinate the work of project team members, vendors, consultants, volunteers, or Chapter representatives.
• This position serves as a lead project contact with various vendors and service providers, including coordinating deliverables and supporting contract-related activities.

RESPONSIBILITY FOR DECISION MAKING:

• This position has responsibility for supporting project budget tracking, project reporting, risk identification, issue escalation, and vendor coordination.
• This position develops recommendations and supports decisions related to project plans, timelines, processes, risks, issues, changes, and delivery approaches.
• This position is expected to exercise sound judgement, escalate high-risk matters appropriately, and support effective decision making by project sponsors and leadership.

WORKING CONDITIONS & PHYSICAL EFFORT:

• The position is performed in a hybrid home/office work environment, primarily sitting and working on a computer.
• The position is based in SOC’s office in Toronto at 21 St. Clair Avenue East.
• Occasional travel and weekend or evening work may be required to attend meetings, project activities, events, or presentations.
• Physical effort is minimal, though occasional lifting of boxes or equipment may be required, up to 25 lbs.

COMPENSATION & BENEFITS:

• Salary range: $68,000 – $95,000 per year, based on experience, skills and qualifications
• 3 weeks’ vacation per year (pro-rated to the contract duration)
