Compensation: $25/hour
Employment Type: Part-Time (20-25 hours per week)
About the Role
We are looking for a highly organized, proactive, and detail-oriented Event Operations Coordinator to support our production and creative teams.
This role is ideal for someone who loves organization, project management, follow-up, and keeping multiple moving pieces on track. Rather than leading event strategy or creative direction, this person will be responsible for ensuring projects stay organized, deadlines are met, and team members have the information and support they need to execute successfully.
The right candidate thrives on checklists, timelines, communication, and making sure nothing falls through the cracks.
Key Responsibilities
Project Coordination
- Maintain project timelines and workback schedules
- Track deliverables, deadlines, and action items
- Follow up with team members, vendors, and partners on outstanding tasks
- Update project management tools and trackers
- Ensure projects stay organized and on schedule
Administrative Support
- Take detailed meeting notes and distribute action items
- Manage document organization and file management
- Track contracts, invoices, and vendor paperwork
- Coordinate scheduling and calendar management as needed
- Assist with project reporting and status updates
Vendor & Logistics Support
- Coordinate vendor communications and follow-up
- Track quotes, contracts, and deliverables
- Assist with shipping, receiving, and logistics coordination
- Support venue and vendor research when needed
- Confirm details and timelines leading up to events
Event Support
- Assist with on-site event execution when needed
- Support setup and teardown activities
- Help ensure event materials, supplies, and logistics are prepared in advance
- Serve as an operational support resource for the production team
What This Role Is Not
This is not a lead Event Producer role.
This position is designed to support the Production Manager and Creative Manager by owning coordination, administration, and project management tasks so they can focus on client leadership, event strategy, creative direction, and business growth.
Qualifications
- 1-3 years of experience in event coordination, project coordination, administrative support, hospitality, or a related field
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to manage multiple projects simultaneously
- Comfortable following up and holding people accountable to deadlines
- Resourceful and proactive problem solver
- Strong proficiency with Google Workspace and project management tools
- Ability to work independently while collaborating with a team

- Experience supporting corporate, experiential, or live events

- Comfortable working in a fast-paced environment
- Positive attitude and willingness to jump in where needed
- Valid driver's license and access to a vehicle
- Available for occasional evenings and weekends during event periods
