Duties and Responsibilities
Durham College is seeking an experienced Executive Assistant to provide senior-level support in the Office of the Vice President, Academic and Students (VPAs). Reporting to the Manager, Academic Operations and Communications, the incumbent will undertake activities in support of strategic and operational goals, managing relationships across departments and Faculties, as well as with external stakeholders. The incumbent will provide office reception duties; lead special projects; support event planning; coordinate various committee meetings; and manage administrative tasks for the Office of the VPAS. The incumbent will be proactive, anticipating the team's needs and managing multiple priorities simultaneously.
The incumbent will approach their work with a professional attitude and focused attention to detail. The incumbent will assess and respond to a wide range of issues, both general and confidential, and will be skilled in written and verbal communication.
Specific responsibilities include: research and information gathering; responding to inquiries; assisting with projects and miscellaneous requests; proofreading documents; preparing confidential and/or general correspondence; scheduling and calendar management; booking travel arrangements; coordinating events; providing support to cross-institutional committees; tracking budget expenditures and reconciling credit card statements; supporting academic policy renewal and development, including managing the catalogue of policies that fall within the academic portfolio.
The successful candidate will possess a three-year diploma or a degree in Business or Office Administration, as well as a minimum of five years related and successful experience supporting senior-level executives. Additional qualifications include experience writing professional communications, calendar management, meeting management, event planning, project management, supporting multiple cross-institutional committees and policy development. In addition, the successful candidate will be highly proficient with the Microsoft 360 suite, and possess excellent communication, interpersonal, organizational, problem-solving, and time management skills as well as demonstrate the ability to manage confidential information. The ability to successfully build relationships across the organization as well as maintain trust and confidentially are essential to success in this role. An excellent understanding of college processes, Banner, FAST (or other budget software applications), and DC’s organizational structure will be considered an asset.
