Reporting to the operations manager, you will play a key role in supporting our team's ambitions, patient care, innovating and improving project management.

• Strong interest in health and nutrition. Working knowledge of Naturopathic Medicine is a plus.

Immediate Responsibilities

• Establish genuine rapport with patients, welcoming them and ensuring they have a positive experience from start to finish at the clinic.
• Be at the center of clinic communication with patients over email, phone, and online portals
• Enter appointments into the patient schedule and maintain a waiting list so that schedules are booked as fully as possible.
• Administer patient forms, test results and internal documents through electronic medical records system (Jane).
• Patient checkout including invoicing, insurance billing and receiving payments.
• Effectively work with management in continually evaluating, reviewing, and modifying operational policies and procedures in the operating manual.
• Demonstrate active listening and empathy to patients using effective communication skills.
• Responsible for the entire patient experience, establishing long term relationships and trust in our team.
• Ability to communicate and train with a main office in Kingston, Ontario.
• Regular cleaning of clinic environment to ensure safety of patient and staff.

Potential Future Responsibilities:

• Oversee and manage the financial management system, ensuring accurate balancing of daily funds received and preparing detailed statistical reports for management review.
• Lead clinic marketing efforts, developing and implementing strategies to increase patient engagement and brand awareness across our network.
• Represent the company at community events, serving as an ambassador to promote our mission, build relationships, and enhance our presence within the community.

Required Skills/Technologies

• Very tech-savvy and able to troubleshoot as tech related issues arise.
• Experience with Slack, Asana or other internal messaging and scheduling systems is an asset.
• MS Office (Word, Excel), Google Docs and Gmail.
• Typing 50 wpm or higher
• Experience with Jane patient records system is a bonus!
• Experience in patient care and/or administration is an asset.
• Experience working in a hospitality, customer service or retail environment
