Duties

Reports to the Manager of Revenue and Taxation. Performs administrative, clerical, customer service functions, and record-keeping duties within the Finance/Tax Division

Work Performed

• Greets public; receives and responds to in-person, electronic and telephone customer service inquiries, requests, and questions at City Hall counter/reception area.

• Answers incoming calls from the City’s main phone line.

• Assists with the preparation of coin for pickup and processing.

• Responds to inquiries from the general public, lawyers, real estate agents, property owners and mortgage lenders.

• Receives, records and processes payments on account for customer tax and receivable accounts as well as cash transactions for various City products in accordance with established procedures.

• Maintains official City records and departmental supporting documents for tax and property records, assessment rolls, titles, deed changes, lender files, customer accounts, mailing lists, purchase orders or any other records as directed.

• Prints and collates documents for distribution, mailing and filing.

• Prepares, receives or compiles correspondence, reports, data, forms, receipts and vouchers.

• Circulates notices, arrears notices, write-offs and adjustments related to the department/division from drafts, notes or brief instructions.

• Checks, tabulates and summarizes data; summarizes such information and prepares periodic or special reports in accordance with established procedures.

• Proofreads materials for accuracy, completeness, compliance with departmental and other policies.

• Collects, distributes and/or processes incoming and outgoing physical and electronic mail.

• Arranges for servicing and repairs to office equipment or machinery as required.

• Provides administrative support as required to department managers and/or Director.

• Assists in maintaining a safe work environment.

• Performs other related duties as assigned.

Qualifications

• Community College Diploma (1year) in Office Administration

• Minimum 3-6 months related professional experience

• Testing will form part of qualifications

Specialized Skills, Abilities, Training, License, Memberships, or Certifications

• Knowledge in municipal taxation and property assessment legislation, policies and practices.

• Ability to operate telephone switchboard system, standard and specialized software and financials systems
