DEPARTMENT SUMMARY

St. Michael's Hospital Foundation (SMHF) is the exclusive fundraising organization to generate and manage philanthropic funds for St. Michael's Hospital and Providence Healthcare, within Unity Health Toronto. Through multiple lines of fundraising income generation and stewardship activity, SMHF, in conjunction with Unity Health, will define and promote the St. Michael's and Providence brands to maximize philanthropic revenue to fuel their healthcare, research, teaching and health equity missions. We will inspire our communities, local, provincial, national and international, to invest in our organizations' priorities to drive and implement innovation that will equitably support all members of our society to manage and overcome disease and health crises and live healthier lives to create a more inclusive and thriving society. POSITION SUMMARY

The Finance Team plays a pivotal role in supporting our mission to raise funds for the two leading hospitals. Our team ensures the effective management of financial resources, enabling us to drive innovation and deliver critical healthcare services. We oversee all financial operations, including budgeting, financial reporting, grant management, and audit preparation. By maintaining accuracy in our financial practices, we build trust with our donors and stakeholders, ensuring that every contribution is maximized to support our community's health and well-being.

The Finance Administrator plays an integral role on the Finance Team in providing administrative and clerical support to the finance and accounting functions, with a particular emphasis on grant management. By providing essential support to the Finance Team, the Finance Administrator ensures accurate financial records, timely reporting, and compliance with grant requirements. This role requires strong organizational skills, strong focus on accuracy, and the ability to collaborate effectively with internal and external constituents.

RESPONSIBILITIES & ACTIVITIES

  • Accounting Support:
    • Assist with accounts payable and receivable processes.
    • Process invoices, reimbursements, and expense reports.
    • Reconcile financial discrepancies and ensure accuracy in financial records.
    • Maintain vendor and supplier records.
  • Grant Management:
    • Assist in the administration of grants, including tracking requests and compliance.
    • Assist in preparation of reports for donors and hospital staff as needed.
    • Maintain accurate records of granted funds.
  • Financial Reporting:
    • Compile financial data and prepare routine reports.
    • Assist in the preparation of monthly, quarterly, and annual financial statements.
    • Support audit preparations by organizing documentation and data.
  • Data Entry and Record Keeping:
    • Enter financial transactions into accounting software or databases.
    • Maintain organized filing systems for financial and grant-related documents.
    • Ensure confidentiality and security of financial information.
  • Communication and Coordination:
    • Liaise with foundation staff to gather financial information and support their needs.
    • Communicate with donors, vendors, and stakeholders regarding financial matters as directed.
    • Assist in responding to inquiries and requests for financial information.
  • Administrative Support:
    • Provide general administrative support to the Finance department.
    • Schedule meetings, maintain calendars, and coordinate logistics as needed.
    • Assist in special projects and initiatives as assigned by supervisors.

KNOWLEDGE & SKILLS

  • Associate degree in Accounting, Finance, Business Administration, or related field (Bachelor's degree preferred).
  • 1-2 years of experience in accounting or finance, preferably in a nonprofit or healthcare setting.
  • Basic understanding of accounting principles and procedures.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and accounting software.
  • Strong organizational skills with attention to detail.
  • Excellent written and verbal communication skills.
