Remote Executive Manager

Indigenous Climate Action (ICA) is looking for someone who is ambitious, personable and passionately committed to true Indigenous Climate Justice to serve as the Executive Manager to the Executive Director. This position requires a deep understanding of the intersectional approaches of climate justice and Indigenous rights in order to support the leadership for ICA.

This is a remote, work from home, online working position with priority given to Indigenous people who live in so-called Canada.

Position Summary

The Executive Manager is responsible for coordinating and facilitating the governance and logistical needs of the ICA Board of Directors, National Steering Committee (NSC) and select ICA community-based events. Providing executive, administrative governance and relationship support to the Executive Director and the Leadership Team. In this role, you will serve as the primary point of contact for the ICA Board, NSC and be lead planner for Stewardship-led community events. 


The Executive Manager should be well-organized, understanding the importance of timing and setting, responding to crises and setbacks, working with a diverse fast-paced team and have great time management skills and be able to act without guidance.

Experience working with Indigenous-led organizations and structures that challenges systems of colonization, white supremacy, patriarchy and capitalism is an asset.

Job Responsibilities

Reporting to the Executive Director, the Executive Manager will:


  • Support ICA Board governance, meeting and reporting needs. Including assisting in planning agendas, preparing materials, minute taking, writing reports, and coordinating meetings

  • Support ICA Board operations with development of Board related policies and governance procedures

  • Act as primary point of contact for the ICA Board in relation to logistics and governance needs

  • Establish and maintain boards and work plans for the ICA Board, NSC and Stewardship-led events

  • Work with the Stewardship Pod to develop an internal engagement strategy that informs the National Steering Committee, while nurturing and strengthening ICA’s internal relationships with our National Steering Committee, coordinating opportunities for the National Steering Committee to engage with ICA affiliated communities, and present updates to ICA Staff

  • Liaise with the National Steering Committee on a regularly scheduled basis

  • Support the planning and facilitation of quarterly NSC newsletter; developing the quarterly newsletter content

  • Schedule quarterly National Steering Committee meetings and committee meetings, create meeting minutes, host and chair meetings, invite appropriate ICA Team members, determine and support next steps (support letter, networking, event planning and updating monday.com board activity log)

  • Develop a process to track NSC hours and ensure hours are being met by the NSC

  • Act as lead, in partnership with other ICA Pods, for Stewardship-led community events, such as Land Gatherings, dialogues, and other in-person and online events led by the Stewardship Pod

  • Collaborate on providing confidential administrative support including: meeting scheduling, agenda development, expense reconciliation, and minute taking

  • Supporting critical communication needs (Annual Report; Funding Applications; Managers Updates) to support Stewardship Pod function

  • Administrative support to the Executive Director to assist in scheduling, note taking, and coordinating in support of Stewardship Pod needs

  • Work closely with the Executive Director to advise and support strategic planning, work plan development, and evaluation for the Stewardship Pod

  • Support policy development in collaboration with the Leadership Team

  • Work closely with the Stewardship Pod

  • Clear understanding of the functions and responsibilities played by intergovernmental and settler and Indigenous relations

  • Knowledge of federal/provincial/territorial organizational climate and Indigenous rights policies and issues

  • Project management and event planning

  • Facilitation, and reporting for meetings and events

  • Comfortable with building new relationships and navigating the diversity of opinions and tensions that can exist in a community

  • Proven experience in conflict resolution

  • Excellent analytical skills to research and provide an accurate and thorough analysis including recommendations

  • Comfortable with asking questions, pushing for clarity and asserting best-practices for time management

  • Discretion and confidentiality

  • Ability to travel and be available outside of core office hours when required

Qualifications and Experience


  • 5-7 years prior administrative assistant and/or executive consulting experience, including support to Executive team members

  • Post-secondary degree or diploma in community development, administration or relevant experience

  • Excellent in organizing emails, setting priorities, and creating timelines for responses

  • Excellent with typing and maintaining digital filing

  • Excellent Google Suite Tools, including but not limited to managing google docs, google sheets and google calendar

  • Familiarity or willingness to learn ICA’s office software and communication applications 

  • Excellent verbal and written communications skills

  • Facilitation skills and experience

  • Event Planning and logistics coordination

  • Basic accounting skills including the ability to prepare and review budgets

  • Solution oriented

  • Confident to push for clarity and share perspectives for continuous improvement

The position is full time and entails a 35 hour work week within a culture of ICA’s Four Day work week policy. When safe, some travel and evening/ weekend hours may be required. The successful candidate must be willing to be flexible and work hours required to meet ICA expectations. 

SALARY: $85,000 - $100,000 per annum depending on qualifications
