Location: Saint John, NB
Job Type: Full-Time
Schedule: Rotational shift work — 12-hour shifts, 4 days on / 4 days off

Position Overview

As a Client Care Representative (CCR) , you will be the first point of contact for clients and their pets. You will help ensure each visit is as smooth and positive as possible, even during stressful or difficult circumstances.

The ideal candidate is friendly, reliable, organized, and comfortable working in a fast-paced environment. Strong communication skills, empathy, attention to detail, and a willingness to learn are essential.

Key Responsibilities

• Welcome clients and their pets with a warm and professional attitude.
• Provide exceptional customer service in person and over the phone.
• Answer incoming calls and assist with patient intake and discharge.
• Relay messages accurately and promptly, including answering client questions in consultation with a Registered Veterinary Technician.
• Communicate updates regarding patients to pet owners in a clear and compassionate manner.
• Explain fees and charges clearly and professionally.
• Process client payments, invoices, billing inquiries, and insurance submissions.
• Assist clients with financing and insurance options.
• Complete scheduled and end-of-day closing procedures, including balancing cash, settling debit transactions, and printing reports.
• Maintain accurate and up-to-date client and pet records in the practice management system.
• Keep the waiting area clean, organized, and welcoming.
• Assist with inventory of coffee station and retail consumables.
• Maintain confidentiality and follow hospital policies and procedures.
• Follow safety and infection-control protocols.
• Provide emotional support and empathy to clients during challenging situations.
• Perform other duties as required to support the efficient operation of the hospital and the wellbeing of patients.

Qualifications

• Previous veterinary or customer service experience is preferred but not required .
• Confidentiality for patient/client information.
• Excellent verbal and written communication skills.
• Strong organizational skills and the ability to manage multiple tasks simultaneously.
• Ability to remain calm and professional in a fast-paced, high-pressure environment.
• Strong attention to detail and accurate recordkeeping skills.
• Ability to handle sensitive and emotional situations with empathy and professionalism.
• High school diploma or equivalent required.
• Additional education or relevant certifications are an asset.
• Comfortable learning new systems and working collaboratively as part of a team.
