Career Opportunity

Oversees administration, business administration and supports, co-ordinates and monitors the daily operating activities of the Materials Management Computer System (MMCS) for the Materials and Procurement Department of the Toronto Transit Commission.

What Will You Be Doing?

• Provides support and liaison to the Materials Management (MM) Department, customers and various sections of the ITS Department by ensuring the effective and efficient administration and use of the Materials Management Computer System (consisting of ERP like IFS currently/SAP in future and other systems and applications) and assisting in design enhancements for the same. This involves:
• Assessing system functionality on an ongoing basis by co-ordinating and monitoring the operation and use of the system to ensure maximum efficiency and adherence to procedures and controls
• Ensuring business critical systems/applications are always functional and when issues occur taking immediate action by performing preliminary analysis to confirm issues reported; creating IT incident tickets; testing and confirming resolutions; providing updates as required to end users of system
• Co-ordinating with IT implementation of system upgrades that affect the IFS application used TTC wide, and ensuring that all related functions in IFS for all end users are also taken into consideration
• Authorizing and administering system security by authorizing requested changes to established procedures or functions; adding or changing user ids, security access levels, system controls/tables and equipment registration information; monitoring and reporting to management any security violations and major system problems; performing ID Management for specific ERP

Managing all IFS Access requests for the TTC and creating and disabling related IDs as required by:

• Validating requests for IFS Access and in doing so assisting ITS Department to manage related licensing costs
• Performing IFS Users Audit at least once a year to identify IDs that are locked due to inactivity and disabling such users for savings in licensing costs
• Managing the allocated licenses related to IFS and required by some specific roles in IFS, which involves regular audits and submitting requests to have licenses removed or added as required
• Functioning as primary IT representative for the Materials Management section; managing both Incident and Request Tickets assigned to MM by ITS Department
• Addressing requests for change/updates to computer systems used by MM staff by performing business analysis of systems to identify or recommend options to address the change or new requirement, liaising with ITS technical support development; testing and documenting results of new solutions
• Reviewing systems and hardware requirements for the various areas of MM, with an awareness of impacts, and creating the related requests; co-ordinating with various ITS sections for the installation and activation of these items
• Addressing requests (various inquiries, reports, instructions) for specific data and or improved system functions of the current MMCS
• Maintaining all On-Line Help, Work Flow, Business Operating Procedures documentation consistent with approved business processes and procedures to meet changing requirements of MM and the customers
• Providing training and support documentation to MM employees and other TTC employees on the various computer applications used in MM, as required
• Liaising with other TTC departments to ensure fluidity of information between MM and customers
• Liaising with the Finance Department to ensure proper Inventory and Procurement related postings are accurate, and working collectively to resolve any discovered anomalies
• Working as a Subject Matter Expert with other departments to improve system functions and to introduce new system functionality to meet TTC requirements as required

What Qualifications Do You Bring?

• Completion of university degree/community college diploma in Business Analysis and computer information systems, or the equivalent, combined with similar or related experience in purchasing, inventory control planning, warehouse systems, and exposure to materials management practices.
• Comprehensive knowledge of business administration practices and procedures for inventory management/supply chain.
• Proficiency in the use of PCs and computer software applications/systems related to the work (i.e. MS Word, Excel, Access and Outlook, inventory/materials management systems, etc.).
• Sound judgement, and well-developed organizational, analytical and problem solving skills.
• Must possess effective interpersonal, and oral and written communication skills.
• Ability to co-ordinate systems related technical projects including program enhancements.
• Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees.
• Must have or rapidly develop a thorough knowledge of MMCS (IFS) and all related applications, features, functions, operating procedures and controls as they relate to the Materials & Procurement Department.
• Must become knowledgeable of departmental policies and procedures applicable to the work performed.
